What are the responsibilities and job description for the D&A Office Manager position at Creative Health Services, Inc?
Responsibilities
- Coordinate the administrative scheduling needs of the department.
- Review duties of all administrative staff.
- Assess responsiveness and customer service strength of all front office staff.
- Assign a fill in for administrative staff absences or provide coverage as necessary.
- Troubleshoot issues as they occur when appropriate and report resolution back to Director of Outpatient Services.
- Meet with administrative staff as a group or individually as needed for any training issues.
- Assist with cross-training.
- Provide general oversight of administrative staff and completion of duties.
- Meet as needed with the Director of D&A to ensure the department operates in an efficient, professional, and recovery friendly manner.
- Coordinate daily office needs of all clinical staff.
- Handle daily interactions between Creative Health Services and the clients’ payer source.
- Initiates client authorizations for therapeutic and psychiatric treatment.
- Coordinates and disseminates managed care and insurance information to the staff persons who handle specific processing tasks.
- Updates Creative Health financial billing and processing departments on managed care and insurance changes.
- Develops and participates in In-services to Creative Health staff regarding information pertaining to authorization practices.
- Works with Case Management when necessary for client psychiatric and medication appointments pertaining to issues with managed care, county funding, and private insurances.
- Resolves managed care and insurance discrepancies daily.
- Updates insurance/funding for clients daily as needed.
- Interacts with Billing Department, Case Management, and other D&A staff to ensure D&A services are billable.
- Manages clients’ co-pays, responsible for co-pays entered into system and staff collection of co-pays.
- Driving to other locations if necessary to fill in for absences.
- Other duties as assigned.
Qualifications
- Proven experience in office management or administrative roles with a strong background in accounting or finance.
- Demonstrated supervisory experience leading teams or managing staff effectively.
- Proficiency in Microsoft Office suite including Excel spreadsheets; experience with spreadsheets for data analysis preferred.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Excellent communication skills—both verbal and written
