Global Vendor Operations & Billing Specialist
Position Overview
Our client, an in-house media function within a large pharmaceutical company, is seeking a detail-oriented Operations & Billing Specialist to support global vendor onboarding, procurement, and financial workflows.
This role focuses on SAP and Ariba-driven processes, including vendor setup, PO management, and invoice reconciliation across a complex, multi-region environment. You will help centralize and streamline workflows, improve turnaround times, and ensure accuracy across systems.
This is a process-driven operations role-no media execution required.
Role Details
- Hours: 40 hours per week
- Location: Central or Eastern time zones preferred
- Duration: Contract through December 31, 2026, with potential to extend
Key Responsibilities
- Manage end-to-end global vendor onboarding, including coordination with procurement, finance, and banking teams
- Support vendor setup in SAP, ensuring accuracy, compliance, and timely completion
- Create and manage purchase orders in Ariba, ensuring alignment with contracts and scopes
- Track PO status, approvals, and changes across systems
- Oversee invoice submission, validation, and reconciliation against POs and system records
- Identify and resolve billing discrepancies with vendors and internal stakeholders
- Track spend and ensure alignment between POs, invoices, and actuals
- Maintain clear documentation of processes, workflows, and vendor requirements
- Serve as a central point of contact across procurement, finance, and vendor teams
- Proactively drive follow-ups and workflow progress to reduce cycle times and improve efficiency
Required Qualifications
- 3-7 years in operations, finance, procurement, or vendor management
- Hands-on experience with:
- Ariba (PO creation, procurement workflows)
- SAP (vendor setup, invoicing, reconciliation)
- Experience supporting billing / invoicing processes and tracking POs
- Strong organizational skills and ability to manage high-volume workflows
- High attention to detail and process accuracy
- Strong follow-through and proactive communication
- Ability to manage multiple workflows and stakeholders simultaneously
- Comfortable working in structured, system-driven environments
Preferred Qualifications
- Experience in enterprise or global environments
- Exposure to regulated industries (pharma, healthcare, finance)
- Experience supporting multi-region vendor operations
