Job Summary
We are seeking a highly organized, compassionate, and detail-oriented Intake Coordinator to join a growing Specialty Pharmacy/Home Infusion team in Tacoma, WA. This role serves as a key liaison between patients, providers, insurance companies, and clinical staff to ensure a seamless onboarding experience and timely initiation of therapy.
The ideal candidate will have prior experience in a Specialty Pharmacy or Home Infusion setting and possess strong knowledge of insurance verification, prior authorizations, patient communication, and referral management. This individual thrives in a fast-paced healthcare environment and is passionate about delivering exceptional patient care and customer service.
Job Responsibilities: Receive, process, and coordinate new patient referrals for specialty pharmacy and home infusion services. Verify insurance benefits, eligibility, coverage details, and patient financial responsibility. Obtain and manage prior authorizations, reauthorizations, and supporting clinical documentation. Coordinate communication between physicians, nurses, pharmacists, patients, and insurance carriers to facilitate timely therapy initiation. Conduct patient onboarding calls and provide ongoing patient communication and support. Perform wellness checks, refill coordination, and follow-up calls as needed. Review referral documentation for completeness and communicate with provider offices regarding missing information. Maintain accurate and timely documentation within pharmacy software and EMR systems. Assist with scheduling deliveries, nursing visits, and patient care services. Support billing and reimbursement processes through accurate documentation and communication. Resolve intake-related issues proactively and escalate concerns when appropriate. Ensure compliance with HIPAA and all applicable healthcare regulations. Collaborate closely with pharmacy, nursing, reimbursement, and administrative teams to ensure continuity of care and positive patient outcomes. Qualifications: Minimum 1-2 years of experience as an Intake Coordinator, Patient Access Representative, Insurance Verification Specialist, Prior Authorization Specialist, or similar role within a Specialty Pharmacy or Home Infusion environment. Experience working with Medicare, Medicaid, commercial insurance plans, and specialty pharmacy benefit plans. Strong understanding of insurance verification, authorization workflows, and reimbursement processes. Excellent communication, customer service, organizational, and multitasking skills. High attention to detail and strong problem-solving abilities. Proficiency with EMR systems, pharmacy software, and Microsoft Office applications. Pharmacy Technician License is a plus but not required. Home Infusion or Specialty Pharmacy experience is strongly preferred and will be prioritized. About the Company:
