Key Responsibilities
Client Service & Account Administration
- Provide day-to-day client service and administrative support.
- Assist with opening and maintaining client accounts.
- Process deposits, withdrawals, transfers, and other account transactions.
- Respond to client requests and follow up to ensure timely resolution.
- Maintain accurate and organized client records and documentation.
- Work with custodians, retirement plan carriers, and financial service platforms.
- Support account administration through platforms such as Fidelity and Charles Schwab.
- Handle incoming and outgoing mail, including checks and time-sensitive documents.
- Prepare checks for deposit and ensure financial documents are processed accurately and securely.
- Gather account statements and financial records for clients, advisors, and outside accountants.
- Print, organize, and distribute client reports and account documentation.
- Assist with operational and administrative projects as needed.
- Learn and develop expertise in the firm's client service processes and financial operations.
- 1–3 years of experience in financial services, wealth management, banking, investment operations, or a related field preferred.
- Basic understanding of financial products such as mutual funds, IRAs, brokerage accounts, and retirement plans.
- Strong organizational skills and exceptional attention to detail.
- Professional communication style with a strong client-service mindset.
- Ability to handle confidential financial information with discretion.
- Strong follow-through and ability to manage multiple priorities.
- Comfortable working independently and as part of a small team.
- Proficiency with Microsoft Office and ability to quickly learn new financial systems.
- Bachelor’s degree in Finance, Business, Accounting, or a related field preferred but not required.
