Bookkeeper & Construction Manager Assistant – Edgartown, MA
Job Summary
My client is seeking a highly organized and detail-oriented Bookkeeper & Construction Manager Assistant to join their team. This role primarily focuses on managing day-to-day bookkeeping and financial tracking, while also supporting the Construction Manager in coordinating custom home building projects. The ideal candidate will have strong accounting fundamentals, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Bookkeeping & Financial Management (Primary Focus): Manage accounts payable and receivable, including invoicing and vendor payments. Maintain accurate financial records using QuickBooks. Reconcile bank and credit card statements regularly. Track project expenses and assist with budget monitoring. Prepare basic financial reports and support accounting processes as needed.
Material Procurement and Coordination: Order materials and supplies for construction projects in alignment with project schedules. Monitor inventory levels and coordinate timely deliveries to job sites.
Client and Architect Communication: Act as a liaison between clients, architects, and the construction team. Communicate updates, address inquiries, and ensure alignment on project goals.
Subcontractor and Vendor Coordination: Schedule and coordinate subcontractors and vendors for on-site work. Ensure subcontractors adhere to project timelines and quality standards. Collaborate with site superintendents to address on-site needs and resolve issues promptly. Conduct periodic visits to job sites to ensure progress aligns with project plans.
Administrative Support: Prepare and manage project documentation, including contracts, schedules, and change orders. Utilize Microsoft Office tools (Word, Excel, Outlook) to create reports and track project data. Provide general support to the construction team as needed. Maintain organized records and files for all projects.
Qualifications
Experience: Experience in bookkeeping required; construction or project coordination experience is a plus Education: High school diploma or equivalent required Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook); experience with QuickBooks required; construction software familiarity is a plus Communication: Strong verbal and written communication skills with the ability to interact professionally with clients, architects, subcontractors, and team members Organization: Exceptional organizational and multitasking skills with strong attention to detail Problem-Solving: Ability to anticipate and proactively address challenges Teamwork: Positive attitude and ability to collaborate effectively with diverse teams Transportation: Valid driver’s license and reliable transportation for occasional site visits Work Authorization: Must be authorized to work in the United States
