Job Summary: The Facilities Coordinator supports the safe, functional, and professional operation of CraneWorks facilities through a combination of hands-on maintenance, vendor and project coordination, and administrative support to the General Manager. This role is responsible for identifying facility needs, resolving routine issues directly when appropriate, coordinating contractors and service providers for larger repairs, and following open items through completion. The position also provides practical administrative and project support to help reduce the General Manager’s day-to-day workload.
 
Key Responsibilities:
  • Perform routine facility inspections and identify maintenance, safety, grounds, and appearance issues.
  • Complete basic repairs and maintenance within the scope of the role, including replacing light bulbs, minor fixes, and other general facility needs.
  • Address or coordinate grounds, exterior, parking lot, signage, lighting, and general property issues.
  • Coordinate and provide direction to other internal maintenance or handyman resources as needed.
  • Maintain basic facility supplies, tools, and materials needed for routine repairs.
  • Identify issues that require a licensed or specialized contractor and escalate appropriately rather than performing work outside the role’s qualifications.
  • Support facility readiness, housekeeping standards, and a safe, professional work environment.
  • Serve as a primary point of contact for facility-related vendors, contractors, utilities, and service providers.
  • Obtain quotes, compare options, coordinate approvals, schedule work, and follow up through completion.
  • Coordinate larger repairs and facility projects involving HVAC, electrical, plumbing, roofing, security, landscaping, pest control, utilities, and other building services.
  • Coordinate with city, utility, landlord, property management, or permitting contacts as needed.
  • Track open repairs, work orders, quotes, project status, costs, and completion dates.
  • Verify completed work and promptly address incomplete or unsatisfactory vendor work.
  • Maintain vendor contact information, service records, warranties, contracts, inspection records, and other facility documentation.
  • Help identify recurring facility issues and recommend practical solutions or preventive maintenance.
  • Escalate significant safety, operational, cost, or business-continuity concerns to the General Manager.
  • Provide scheduling, coordination, follow-up, and general administrative support to the General Manager.
  • Track action items and miscellaneous projects and follow up with responsible parties until completed.
  • Assist with vendor paperwork, purchase requests, invoices, records, and related documentation.
  • Coordinate meetings, appointments, site visits, and service schedules as requested.
  • Assist with special projects and other operational needs that help remove routine administrative work from the General Manager.
  • Maintain confidentiality and exercise sound judgment when handling business information.
  • Perform other duties as assigned.
Qualifications:
Required
  • High school diploma or GED.
  • Prior experience in facilities, maintenance, property operations, office/administrative coordination, or a related role.
  • Basic hands-on maintenance skills and the ability to recognize when specialized or licensed service is required.
  • Strong organization, follow-through, and ability to manage multiple open items and priorities.
  • Strong communication and customer-service skills when working with employees, vendors, contractors, and outside agencies.
  • Basic computer proficiency, including Microsoft Office, email, calendars, and electronic recordkeeping.
  • Ability to obtain quotes, maintain records, and track projects and expenses.
  • Valid driver’s license and ability to travel locally for facility-related needs as required.
Preferred
  • Experience coordinating contractors, repairs, or facility improvement projects.
  • Experience in an industrial, equipment, warehouse, service, or similar operating environment.
  • Familiarity with basic building systems, preventive maintenance, safety practices, and vendor management.
Physical & Environmental Requirements
  • Frequently stand and walk throughout office, shop, yard, and exterior facility areas.
  • Regularly bend, stoop, kneel, reach, and climb ladders or steps while performing routine facility tasks.
  • Regularly lift, carry, push, or pull items weighing up to 40 pounds and request assistance or mechanical support for heavier items.
  • Use basic hand tools and maintenance equipment safely and in accordance with Company requirements.
  • Possess sufficient visual and hearing ability to inspect facility conditions, identify hazards, and communicate in office, shop, and outdoor environments.
Work Environment
  • Work is performed in office, shop, warehouse, yard, and outdoor facility environments.
  • Regular exposure to varying weather conditions, noise, dust, dirt, moving equipment, and active industrial work areas.
  • May occasionally interact with contractors performing electrical, plumbing, HVAC, roofing, construction, or other specialized work; the Facilities Coordinator is responsible for coordination and oversight, not performing licensed trade work unless appropriately qualified and authorized.
  • Required to follow Company safety policies and wear applicable personal protective equipment (PPE) when entering designated areas.
