The role also manages lease administration, surety bonds, and key compliance registrations, and serves as the internal expert on Ironclad, the company's contract lifecycle management platform.
Requirements:
Contract negotiation & review
- Review and redline third-party commercial agreements including MSAs, subcontract agreements, work orders, SOWs, T&Cs, and NDAs
- Apply company negotiation guidelines on payment terms (target Net 30), pay-if-paid/pay-when-paid provisions, liquidated damages, limitation of liability, indemnification, force majeure, and tariff escalation clauses
- Escalate non-standard terms to the appropriate approver (DM, RVP, COO, or CFO) per the company's approval matrix
- Generate Crane 1 template documents (NDAs, subcontractor agreements) via Ironclad workflows
- Coordinate counterparty signatures and manage the full signing process
- Ensure all executed agreements are correctly stored and tagged in the Ironclad repository
- Complete and coordinate completion of bid packages, supplier qualification and other documents to support our sales and operations.
- Complete government related packages.
- Research and understand requirements, recommend to company process improvements.
- Serve as the primary Ironclad admin: manage user accounts, permissions, and access controls
- Build and maintain contract workflows, approval logic, and dynamic clause templates
- Maintain and update the clause library and contract playbooks
- Train branch DMs/DSCs on the contract submission process and Ironclad usage
- Triage and process contracts submitted by field staff via the Contract Review Request Form
- Track and maintain records for all active facility leases across 30 branch locations in Ironclad and the lease tracking spreadsheet
- Monitor lease expiration dates, renewal option windows, and notice deadlines
- Coordinate with branch leadership on upcoming renewals, extensions, and new lease negotiations
- Process bond requests (payment & performance, advance payment, and bid bonds) through bond agent.
- Maintain the bond tracking sheet, updating status at each milestone: requested, received, open, and closed. Monitor open bond capacity against total bonding limits
- Manage bond closeout process including securing customer-signed release forms and submitting to Accounting
- Keep company information current (CAGE Code, UEI, NAICS, EIN, DUNS, ISN) across required registrations
- Liaise with insurance broker (RSC Insurance Brokerage / Risk Strategies) on certificate of insurance requests and coverage questions
- 5 years in contract administration, paralegal work, or a related role
- Experience reviewing and negotiating commercial contracts
- Proficiency in contract lifecycle management tools
- Strong working knowledge of Microsoft Office (Excel, Word)
- Experience with Ironclad CLM platform
- Background in construction, industrial services, or field services contracting
- Familiarity with surety bonds and SAM.gov registration
- Experience supporting multi-location operations
- Knowledge of Power Automate or similar workflow automation tools
