Job Overview
The Receptionist serves as the first point of contact for residents, families, visitors, vendors, and staff. This position is responsible for creating a welcoming and professional environment while providing exceptional customer service, managing incoming communications, and supporting the daily administrative operations of the assisted living community. As an Assisted Living Facility, we are open 24/7, this includes Weekends and Holidays. Please keep in mind that these may be required of you to work.
Duties
- Answer and direct incoming phone calls promptly and accurately.
- Receive, sort, and distribute incoming mail and deliveries.
- Maintain the front desk area in a clean, organized, and welcoming manner.
- Assist with resident and visitor sign-in procedures. Monitor building entry and follow facility security and visitor protocols.
- Provide general information about the community and direct inquiries to the appropriate department.
- Assist with administrative tasks including filing, copying, scanning, data entry, and preparing documents.
- Schedule appointments and meetings as requested.
- Maintain office supplies and notify management when inventory needs replenishment.
- Assist with resident and family requests while providing excellent customer service.
- Support move-in and move-out administrative processes as assigned.
- Maintain confidentiality of resident and employee information in accordance with HIPAA and facility policies.
- Respond appropriately during emergencies by following established procedures.
- Perform other administrative duties as assigned by the Executive Director or Business Office Manager.
Qualifications
- High school diploma or GED required.
- Previous receptionist, customer service, or administrative experience preferred.
- Experience in healthcare or senior living is a plus.
- Proficient in Microsoft Office (Word, Excel, Outlook) and basic office equipment.
- Must have weekend availability.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to multitask and remain calm in a fast-paced environment.
- Professional appearance and positive attitude.
Physical Requirements
- Ability to sit, stand, and walk throughout the workday.
- Ability to lift up to 20 pounds occasionally.
- Manual dexterity to operate office equipment and computers.
- Ability to communicate clearly in person and over the telephone.
