Job Overview
We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of our office environment. As an Office Assistant, you will be the first point of contact for visitors and callers, manage administrative tasks with efficiency, and support various office functions to keep everything running seamlessly. Responsibilities
- Greet visitors and clients at the front desk with professionalism and warmth, providing exceptional customer service.
- Assisting to screen phone calls and take messages into message book (recording date, Name ,and phone # ) of caller using proper phone etiquette.
- Perform data entry and maintain accurate records using Mac in conjunction with Excel and Pages.
- Handle clerical duties such as filing and organizing office supplies to ensure a tidy and efficient workspace.
- Assist with calendar management and scheduling appointments for Truck deliveries and Assist manager with inventory orders (includes physical inventory, emailing orders and obtaining dock appointment for deliveries)
- Support bookkeeping tasks using QuickBooks including invoicing and some payables. Including entering invoices into various vendors portals and also emailing invoices to vendors.
- Provide general administrative support including copying, scanning, mailing, and managing incoming/outgoing correspondence.
- Assist with Daily Deposits and completing Deposit slips.
- Post daily vending incomes.
Qualifications
- Proven office experience or clerical experience demonstrating strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and
- Excellent computer literacy with the ability to learn new software quickly. Our office uses Mac's so familiarity with Mac is preferred.
- Strong typing skills with high accuracy; familiarity with data entry is preferred.
- Exceptional customer service skills coupled with professional phone etiquette.
