Role Description
The Preconstruction Coordinator (Insulation) supports the preconstruction and production process by transforming estimate data into accurate, production-ready deliverables. This role is responsible for creating Schedule of Values (SOVs), coordinating submittals, building internal system entries, and preparing takeoff-based documentation to ensure a smooth handoff from estimating to production. This is a full-time, on-site role based in Tampa, FL, requiring strong organizational and analytical skills.
Key Responsibilities (including but not limited to)
Create Schedule of Values (SOVs)
- Build accurate SOVs based on estimating data and contract requirements,
- Ensure alignment between estimate line items and billing structure,
- Perform quality control checks and reconcile totals prior to release.
Submittals Coordination
- Prepare and submit submittals based on approved Scope of Work (SOW),
- Compile required documentation (product data sheets, MSDS sheets, certifications, etc.),
- Track submittals through approval and manage revisions as needed.
Internal System Entry Creation
- Build system entries to support production, billing, and reporting,
- Input key job details including scope, contract values, and production notes,
- Validate accuracy to prevent downstream issues impacting scheduling or billing.
Production Takeoff Documentation
- Generate “Pages with Takeoff” PDF packages for production/field teams,
- Consolidate takeoffs into clear, organized, and user-friendly formats.
Preconstruction to Production Handoff
- Ensure all deliverables (SOV, submittals, system entry, takeoff PDFs) are complete and accurate prior to release,
- Maintain high standards of quality control and ownership of preconstruction deliverables,
- Communicate with internal teams to resolve missing or unclear information.
Required Skills & Qualifications
- Strong attention to detail and accuracy,
- Ability to interpret construction takeoffs, scopes, and basic plans/specifications,
- Highly organized with the ability to manage multiple projects simultaneously,
- Proficiency in Excel, PDFs, and construction-related software platforms,
- Strong communication skills with internal teams (estimating, sales, production.)
Preferred Qualifications
- Experience in insulation, specialty subcontracting, or construction preconstruction,
- Familiarity with Salesforce, Bluebeam, or takeoff software (Stack/OST),
- Understanding of construction workflows from estimating through production.
