Position Summary
The Office Administrator is the backbone of our daily operations. This person will handle customer communication, scheduling, invoicing, bookkeeping tasks, and general office management while supporting the owner and field crews. We’re looking for someone who is detail-oriented, dependable, and thrives in a fast-paced environment.
Responsibilities
- Answer incoming phone calls and respond to emails and text messages
- Schedule estimates and service appointments
- Follow up with customers on estimates and outstanding invoices
- Create and send invoices
- Manage customer information in our CRM
- Coordinate daily schedules with field technicians
- Assist with payroll preparation and bookkeeping tasks
- Order office supplies and maintain organized records
- Respond to online inquiries and social media messages
- Help maintain company calendars and appointments
- Assist with marketing projects and customer review requests
- Provide excellent customer service at every interaction
Qualifications
- Previous office administration or customer service experience preferred
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- Comfortable learning new software and technology
- Experience with Microsoft Office and Google Workspace
- QuickBooks experience is a plus
- Positive attitude and strong work ethic
- Ability to work independently and solve problems
