Covington Smiles is looking for a dental Front Office Coordinator to round out our stellar front office team. We are a long established doctor owned and operated practice with a team of experienced people passionate about patient care and a positive work environment.
The best candidate for this position is friendly, organized, and detail-oriented, and will collaborate with our team to ensure an exceptional patient experience. You will be the first point of contact for patients and visitors, handling responsibilities essential to the smooth operation of our office. A minimum of 2 years dental front office experience required with emphasis on insurance verifications and patient managment. Front office duties will be shared and there is flexibility on how responsibilities are devided.
Key Responsibilities:
· Patient Management:
o Greet and welcome patients and visitors in a professional and friendly manner.
o Assist patients with checking in/out and completing necessary forms.
o Manage patient relations and address patient complaints or issues with professionalism and empathy.
· Scheduling and Communication:
o Answer phone calls and respond to email and text inquiries promptly.
o Schedule, confirm, and reschedule patient appointments to maintain a full and productive schedule.
o Coordinate referrals to other dental specialists and manage patient recall systems.
· Financial and Insurance Coordination:
o Verify insurance eligibility and benefits for patients.
o Present and review treatment plans and financial options with patients, ensuring signed financial agreements are in place.
o Collect and post patient payments (cash, credit card, etc.)
Administrative Support:
o Maintain accurate and confidential patient records (both paper and electronic) in compliance with HIPAA regulations.
o Ensure the reception and waiting areas are tidy, organized, and welcoming.
o Coordinate with clinical staff (dentists, hygienists, assistants) to ensure seamless patient flow.
Qualifications and Skills:
· Experience:
o Proven experience in a dental office setting is required.
o Familiarity with dental terminology, procedures, and basic billing/coding is a plus.
o Experience with dental practice management software required, Dentrix is preferred.
· Core Competencies:
o Excellent communication (verbal and written) and interpersonal skills.
o Strong organizational skills and high attention to detail.
o Ability to multitask, prioritize tasks effectively, and work well under pressure in a fast-paced environment.
o A team player with a professional, compassionate, and positive attitude.
o Proficient computer skills is a plus (Microsoft Office, email, spreadsheets, and data entry).
