About This Role
The Office Administrator is responsible for ensuring the smooth daily operation of the Denver office and serves as the primary point of contact for building management and maintenance staff. The Office Administrator also provides onsite support for company meetings and events, contributing to a well-organized, efficient, and welcoming workplace environment.
About You And Your Experience
- High School Degree required; Bachelor’s Degree preferred
- 2 years office assistant experience
- Experience in Insurance or FinTech industry is a huge plus
- Ability to manage multiple priorities
- Excellent written and verbal communication skills
Role Accountabilities Include, But Are Not Limited To:
As the Office Manager based in Denver and reporting to the Operations team, you will play a central role in ensuring the smooth and efficient functioning of our office environment. Your key responsibilities will include:
- Office and Kitchen Supply Management: Oversee the ordering, inventory, and restocking of all office and kitchen supplies to ensure the workspace remains well-equipped and organized for daily operations.
- Building Management Liaison: Serve as the primary point of contact for building management and the daily porter, coordinating maintenance requests, addressing facility issues, and ensuring the general upkeep and cleanliness of the office.
- Onsite Inventory Support Coordination: Collaborate with the IT manager & Marketing team to facilitate the shipping and receiving of equipment & marketing material, assist with IT room & Marketing inventory organization and upkeep
- Mail Management: Manage all incoming and outgoing company mail, including scanning and forwarding correspondence to the appropriate departments. Handle sensitive HR and company mail with the utmost confidentiality, sound judgment, and a strong sense of urgency to ensure timely delivery and response.
- Meeting and Event Support: Provide comprehensive onsite support for company meetings and events, including arranging catering, coordinating logistics such as hotel accommodations and parking, and setting up conference rooms to meet event requirements.
- Multitasking and Organization: Maintain a high level of organization and the ability to manage multiple tasks simultaneously, ensuring all responsibilities are completed efficiently and to a high standard.
- Confidentiality and Professionalism: Demonstrate high emotional intelligence, discretion, and professionalism in all interactions, particularly when handling confidential information and sensitive company matters.
