Job Summary

This is a position within the Support Staff unit of the Department of Probation Services Juvenile Office. Work includes a significant degree of contact with Probation Officers and Court related agencies. Major responsibilities include performing clerical and administrative duties in support of the Probation Department and Officers, such as typing and distributing court information, entering data into the Pennsylvania Juvenile Case Management System, entering outcome orders into the Common Pleas Case Management System, and performing daily routine tasks with an emphasis on entering and tracking required paperwork and documents. This individual will also interact with the public, answer/receive phone calls and be involved with other special departmental projects. Other duties may be assigned by the Office Manager or any other member of Management.

Responsibilities


ESSENTIAL REQUIREMENTS, DUTIES AND RESPONSIBILITIES


  • Individual must have knowledge of Microsoft Office and be able to navigate through the different software utilized.
  • Enter allegations and court information in the Juvenile Case Management System, including Failure to Pay cases. This includes entering hearing information, disposition outcomes, out of home services, probation supervision, and special conditions of probation.
  • Prepare and cancel warrants when required and complete paperwork for probable cause/warrant hearings.
  • Prepare and process any/all Court related paperwork.
  • Be able to navigate through the Common Pleas Case Management System to prepare outcome orders for court and be able to utilize the Work Basket to prepare court related documents.
  • File appropriate notification forms and other documents with the Clerk of Courts office.
  • Process required paperwork for the Office of Children, Youth, and Families; this includes the fiscal department as well as general services and hearing notices and maintain the shared case responsibility list shared with this agency.
  • Occasionally gather information from families regarding their resources and financial status.
  • Prepare documents and envelopes for mailings.
  • Prepare, process, and track juvenile expungements that are requested.
  • Take juvenile photos, print, and download pictures into the Juvenile Case Management System and the general juvenile folder.
  • Communicate by telephone/in-person/email with other departments and/or outside agencies and families.
  • Ability to use general office machines/equipment to include faxing, scanning, copying, etc.
  • Retrieve files from archives as needed.
  • Review hearing requests and notify officers and supervisors of scheduled court hearings. Process hearing cancellation and continuation requests.
  • Assign clients to specific supervisors based on geographic assignment, specialized caseload and/or rotation for city and transfer caseload.
  • Enter victim information into the Juvenile Case Management System and prepare victim impact letters for mailing. Also prepare victim notification forms and surveys.
  • Attend all required Probation Services and/or other applicable trainings.
  • Perform related work as required.
  • Represent the department professionally to the public.
  • Other duties and special projects as assigned.

Essential Requirements


KNOWLEDGE, SKILLS AND ABILITIES REQUIRED


  • Employee must be able to work independently and exercise sound judgment in compliance with the policies and procedures of the Court of Common Pleas and the York County Department of Probation Services.
  • Knowledge of principles and policies of the juvenile justice system.
  • Ability to communicate effectively with members of the Judiciary, co-workers, representatives of other agencies, and the public.
  • Ability to prepare and maintain accurate and complete records for the use by others.
  • Ability to manage and organize assignments and prioritize work

QUALIFICATIONS


  • High School diploma or equivalent is required.
  • The candidate must pass all clearances as required and a pre-employment drug screen.
