Job Summary:

Performs secretarial and other specialized work in the District Attorney’s office. Primary duties include tracking court notices and maintaining an updated office schedule, entering and updating juvenile court cases, answer and distribute phone calls and incoming mail, prepare files for upcoming court dockets, record dispostional hearing notes, obtain police reports for in-custody defendants, etc.

The District Attorney’s office handles very confidential materials, so discretion is a must.

Job Functions:

  • Answers the telephone and distributes calls.
  • Proper filing for all cases in the District Attorney’s Office.
  • Enters information for United Criminal Docket cases into Justware system.
  • Enters all information for juvenile court matters into Justware system.
  • Records and distributes incoming mail.
  • Prepares office correspondence for signatures.
  • Prepares legal papers for Unified Criminal Docket cases.
  • Prepares and distributes discovery materials to attorneys for juvenile defendants in The Waldo Judicial Center.
  • Assists prosecuting attorney with trial preparation
  • Track court notices and maintain organized scheduling
  • Uploads additional information or documents into appropriate sharefile folders as needed

  • Obtains reports for in-custody cases to ensure that attorneys can have complaints done before noon.
  • Organizes Unified Criminal Docket files in a manner established by the Deputy District Attorney or Assistant District Attorney and files new material.
  • Assist with grand jury reports and juror lists as needed.
  • Deals with the fast pace of activities on court days.
  • Attend court with prosecutor for dispositional court and/or as needed
  • Deals with the complaints and problems of citizens either by phone or walk-in.
  • Assumes and carries out other various duties and responsibilities as requested.

Job Related Skills and Qualifications:

Must be able to pass a background, criminal and motor vehicle record check. Must possess excellent communications skills and the ability to follow oral and written instructions. Must have excellent computer skills and the ability to work under high pressure conditions, meeting deadlines, including but not limited to handling multiple tasks. Must have the ability to follow complicated procedures and use good judgment.

Working Environment/Physical Requirements:

General office conditions; Contact with members of the public, including individuals charged with and/or convicted of crimes. Some contact with potentially hostile witnesses. Extensive contact with law enforcement agencies, law enforcement officers, victims, witnesses, court personnel and attorneys. Occasional lifting/pushing/pulling of objects weighing 25-30lbs.

Education/Training and Experience:

Minimum High School Diploma or equivalent, with two years training in secretarial or other administrative duties. Knowledge in basic legal terminology and the criminal justice system desired, but not mandatory.
