Administrative Assistant—Regular Full-Time

SHIFTS:
0800-1600 hours
Monday-Friday (40 hours per week)
BENEFITS:
Full County Benefits after 90 days probation
OVERALL OBJECTIVE OF JOB:
To perform clerical duties needed within the assigned department.
Essential Functions of the Job:
1. Answers incoming telephone calls, takes messages and ensures delivery to proper staff member, redirects call to proper staff and responds to routine inquiries or directs callers to appropriate individual.
2. Allow access to the facility for authorized visitors.
3. Interact and direct inmate visitors, ensuring visitation rules are followed.
4. Types letters, memos, reports (Social Security and Homeland Security) and a variety of other correspondences) Prison Board Agenda, Training Schedules) required by Warden/Deputy Warden.
5. Scan inmate files after released. Create inmate files after booking process.
6. Scan reports and upload to the Jail Management System.
7. Sorts and files a variety of department documents in an organized manner to allow easy reference for audit purposes.
8. Inspect incoming mail for contraband and make photocopies to be forwarded to the Inmate population.
9. Inspect outgoing mail.
10. Operates computer, fax, copier and other office equipment as necessary to perform essential functions.
11. Interacts with external agencies, departments and clients as needed to carry out essential job duties. (Parole Applications, Expunges and Quarterly Orders)
12. Process work release checks.
13. Sentence computation.
14. Reviews inmate video visitation, inmate messaging system, and inmate phone calls and conducts investigations as directed by the Warden or Deputy Warden.
15. Reconciles the inmate money system, ensuring monies deposited and withdrawn are accurate within the Inmate General Welfare Fund.
Supplemental Tasks:
1. Attends meetings or training sessions as necessary.
2. Performs other job-related duties as required. (Visiting, type Policies and Procedures).
Supervision Received:
1. Receives occasional instruction and some supervision in regard to daily work duties from Warden/Deputy Warden/Program Specialist/Shift Commander

QUALIFICATIONS:
EDUCATION/TRAINING
High School Diploma/GED Required.
Any Equivalent combinations of experience and/or training.

1. Must be able to speak and understand the English language in an understandable manner in order to carry out essential functions of job.
