What are the responsibilities and job description for the Senior Orphans’ Court Administrator position at County of Delaware?

The Senior Orphans’ Court Administrator provides clerical and administrative support for the Register of Wills and Orphans’ Court. This position manages filings, records, and reports related to estates, guardianships, and adoptions while ensuring accuracy, confidentiality, and compliance with court procedures.•    Process and file petitions, motions, and other legal documents related to estates, guardianships, and adoptions.
•    Review filings for completeness and compliance with court rules and procedures.
•    Maintain the court's docket and related information.
•    Enter case information and updates into electronic case management systems (e.g., GTS).
•    Provide clerical support during Orphans' Court proceedings, including preparing case files and recording outcomes.
•    Assist attorneys, guardians, and the public with procedural questions (no legal advice).
•    Track delinquent filings, including annual reports for guardianships, and send follow-up notices.
•    Maintain accurate physical and electronic court records.
•    Handle incoming correspondence, phone calls, and in-person inquiries in a professional manner.
•    Coordinate with judges, court staff, and other departments as needed.
•    Produce and maintain reports with related case information upon request.
•    Sort and distribute daily mail.
•    Assist with other tasks as needed.•    High School Diploma or General Education Degree (GED).
•    Minimum of one year of general office experience.
•    Intermediate skills in using a personal computer and various software packages.
•    Excellent verbal and written communication skills.
•    Strong typing skills (minimum of 50 wpm).
•    Ability to use office machines (fax, copier, calculator, etc.).
•    Strong interpersonal skills.
•    Strong grammar and spelling skills.
•    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
•    Ability to work as part of a team.
•    Flexibility.
•    Ability to interface effectively with all levels of county management.•    Strong organization skills.
•    Ability to prioritize work.
•    Ability to multi-task.
•    Knowledge of County policies and procedures.
•    Intermediate Microsoft Office skills.
•    Intermediate Word skills.
•    Intermediate Microsoft Outlook skills (Email and Calendar).
•    Intermediate Excel skills.

Physical Demands:

While performing the duties of this position, the employee is frequently required to stand, walk, sit, bend at the waist, and talk or hear. Occasionally, the employee will need to reach or work with arms above shoulder height, kneel, stoop, crouch or squat, crawl, climb stairs, twist or rotate at the waist while working; push, lift, or carry items.

Work Environment:

•    Office setting within the Register of Wills / Orphans’ Court division.
•    Frequent interaction with judges, attorneys, guardians, and the public.
