Job Description
General Statement of Duties
This position will direct, supervise and coordinate clinical office support work in the Personal Health Division of the Health Department. This includes clinical registration, eligibility, appointments and medical records. The supervision will be for 6 employees. Must have working knowledge of Electronic Medical Records, preferably CureMD. Work is performed under the supervision of the Business Officer. This position primarily works Monday- Friday, 8:00am- 5:00pm. Due to evening clinics and emergency response activities, this position may occasionally work on Saturday and Sunday’s as well.
Illustrative Examples of Work
Supervises a team of 6 employees.
Interaction with general public (face-to-face or by phone) is required on a daily basis.
Conducts monthly office support meetings and maintains minutes of meetings and follow-up action plans.
Reviews and revises all forms used in Personal Health records.
Maintains and revises policies and procedures as needed and develops new policies and procedures as needed.
Responsible for management of medical records (agency has a medical records clerk who manages medical records on a daily basis).
Updates annual fee schedule in Electronic Medical Record (CureMD) and updates CPT Code sheet as needed.
Gathers and reports information on various programs and projects as directed by the Business Officer.
Supervises, trains and serves as back-up to Medical Records staff and clinical check-in, registration, eligibility and appointment line staff.
Will serve as the departmental HIPAA Administrator. Will provide HIPAA updates, perform internal audits and will work with the Business Officer to investigate HIPAA breaches and to assure HIPAA compliance within the department.

Must be able to talk and hear in order to communicate with the public and employees.
Must have visual acuity to be able to read written materials (handwritten and typed) as well as on the computer screen.
Must be able to stoop, bend, sit and reach.
Knowledge, Skills and Abilities
Substantive knowledge of office or work unit procedures, methods and practices.
Substantive knowledge of and ability to use correct grammar, vocabulary, spelling, proofreading and office terminology to compose and/or proofread correspondence, reports and materials.
Substantive knowledge of accounting procedures, applicable mathematics and their application in the work environment.
Skill in communicating effectively both orally and in writing.
Considerable ability to record, compile, summarize and analyze data.
Considerable ability to review and process information to determine conclusions, actions or compliance with applicable laws, rules or regulations.
Considerable ability to analyze work situations and interpret program content in making decisions and explaining policies, regulations and programs.
Considerable ability to exercise judgment, discretion and negotiation skills in problem situations.
Ability to learn, interpret and explain policies, regulations and programs.
Ability to independently respond to inquiries and coordinate a variety of resources in acquiring and disseminating information.
May require ability to train and manage a group of employees.
Education and Experience
Graduation from high school and demonstrated possession of knowledges, skills and abilities gained through at least three years of office assistant/secretarial experience; or completion of a two-year secretarial science or business administration program with one year of responsible experience as described above; or an equivalent combination of training and experience. Supervisor and CureMD experience is preferred.
Licenses and Certifications
Valid NC Driver’s license.
