Job Summary
We are seeking a professional and organized Front Desk Receptionist to serve as the first point of contact for our office. This role involves managing front desk operations, handling multi-line phone systems, and providing administrative support to ensure smooth daily operations. Bilingual skills are a plus, as well as experience with medical or dental office procedures. Responsibilities
- Greet visitors and clients warmly, providing exceptional customer service
- Manage multi-line phone systems, directing calls efficiently and professionally
- Schedule appointments and manage calendar appointments using Google Workspace or Microsoft Office tools
- Perform data entry, filing, and maintain accurate records using QuickBooks or other office management software
- Handle incoming and outgoing correspondence, including proofreading documents for accuracy
- Assist with administrative tasks such as typing, document preparation, and proofreading
- Support office management duties including bookkeeping, billing, and basic bookkeeping tasks
- Maintain a clean and organized front desk area to promote a welcoming environment
- Provide support with office supplies inventory and ordering as needed
- Manage phone etiquette and ensure professional communication at all times
Qualifications
- Proven experience in office administration, clerical work, or reception roles
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Experience with multi-line phone systems and excellent phone etiquette skills
- Knowledge of QuickBooks or similar bookkeeping software is preferred
- Bilingual abilities are a plus to assist diverse client needs
- Exceptional organizational skills with the ability to multitask effectively in a fast-paced environment
- Strong attention to detail with proofreading and data entry accuracy
- Excellent customer service skills with a friendly demeanor
- Prior experience in medical or dental reception is advantageous but not required
