Job Description: Medicare Administrative Assistant
Part Time 30 hours per week, temporary mid-August through mid-December (16 weeks)
Hourly/Non-exempt (on-site)
Salary: $23.00/hour
Council on Aging of Buncombe County was established in 1964 and is a 501(c)3 charitable organization that serves adults 60 or older, primarily in Buncombe County. www.COAbc.org
Mission: Promote the dignity, independence, and well-being of adults through service, education, and advocacy.
Council on Aging of Buncombe County houses the Senior Health Insurance Information Program (SHIIP) for Buncombe and Henderson Counties. This program provides free, unbiased, one-on-one counseling and education about Medicare and related insurance topics to beneficiaries and their caregivers. The program also offers free educational classes on Medicare topics.
General Function:
Under the supervision of the Medicare Program Manager, the Medicare Administrative Assistant (MAA) position supports administrative functions and serves Medicare counseling clients with an emphasis on providing general information, screening potential clients and scheduling Medicare counseling appointments, and updating data in online data management systems. Additionally, the MAA will have duties related to the Medicare scope of work.
The work involves phone-based and in-person client care. This is a grant-funded position. Compliance with all service standards for other funding sources is required.
All employees contribute to the overall mission, are asked to serve effectively as a team contributor on all assignments, and must be able to work autonomously/take the initiative within the identified description of duties as follows:
Duties and Responsibilities:
- Complete SHIIP training and attend ongoing training as required;
- Screen Medicare client calls;
- Assist with scheduling of Medicare counseling appointments;
- Assist with appointment call reminders
- Greet clients, liaise between clients and volunteer Medicare counselors
- Enter data into Google Suite and STARS data management system;
- Maintain computer updates for volunteers and troubleshoot technical issues, as needed
- Utilize social media platforms to promote Medicare services and provide relevant information to the public;
- Confidentially handles sensitive client information;
- Performs other duties as assigned.

Minimum Qualifications:
High School Diploma or GED with a degree from an accredited college or university. Associate’s Degree in Human Services preferred or at least one year of directly related experience. Preferred experience with volunteers and older adults. Bilingual abilities are strongly preferred.

Schedule: flexible 30 hours per week, to be determined with Medicare Program Manager; Monday to Friday, 8:30 a.m.-4:30 p.m.
