Position Description: Job Overview:
The primary function of the Billing Clerk position is to complete assigned fuel billings, as well as verifying and reconciling fuel invoices and other standard customer service functions. This is a Non-Exempt position reporting to the department manager.
Essential Job Functions:
Verify 3rd party BOL were billed on a customers account or commissions
Verify BOL are in accounting software with correct gallons using BOL history inquiry
A/P fuel vendor invoice data entry
Enter invoices from fuel vendors into accounting software
Attach or pickup BOL to the invoices
Verify taxes, pickup points, gallons, products and price against fuel vendors invoice and verify with in office support tools
Proficiency in administrative and documentation procedures
Research invoice discrepancies
Assist with month end duties
Miscellaneous billing as required
BOL Inventory entry into accounting software
Freight Billing
Assist with commissions as needed
Coordinate with internal departments and/or supervisor(s) to find solutions and resolve matters
Must demonstrate patience when communicating with customers and co-workers
Knowledge of customer services ethics, principles and procedures
Able to handle high stress situations and frequent interruptions
Regular and reliable attendance and presence at work
Regular interaction with peers on-site, including face-to-face meetings and spontaneous conferences
Interacts with customers via telephone, email, or in person to provide support and information on products or services.
Versatile and willing to adapt to a situation with a customer
Maintain records of interactions with the customers in an orderly manner
Assist in separating and dispersing mail
Prepare deposits
Operate in a constant state of alertness and safe manner
Follow company quality, safety and environmental guidelines as well as employee handbook policies
Perform any duties as may be assigned
Qualifications / Experience / Education:
High School Diploma or equivalent and 2 years of related experience
Must be articulate and a confident communicator
Extremely efficient and accurate with data entry, Proficient in MS applications
Pass 7-year criminal background check
