Position Overview:
The Business Support Specialist provides high-level administrative, operational, and project coordination support to the EMS Division’s executive leadership, managers, and business development team. This role ensures the seamless execution of day-to-day business operations, supports client onboarding and retention initiatives, manages divisional reporting, and facilitates cross-departmental communication.
Serving as the central point of coordination for the division, the Business Support Specialist combines strong organizational, analytical, and communication skills with the ability to anticipate needs and proactively solve problems. The ideal candidate thrives in a fast-paced environment, is detail-oriented, and maintains confidentiality while supporting multiple high-priority projects simultaneously.
Key Responsibilities:
Executive & Administrative Support
- Draft, format, and manage correspondence, presentations, and reports for internal and external audiences.
- Coordinate divisional meetings, maintain agendas, track follow-ups, and ensure timely completion of action items.
- Assist in the creation of executive-level slide decks, proposals, and performance summaries for client and board presentations.
- Maintain confidential records, contracts, and sensitive business documentation in accordance with company policy.
Operational & Business Coordination
- Act as the liaison between the EMS Division and corporate departments (Legal, HR, Finance, Compliance, and IT) to support project execution and documentation needs.
- Prepare onboarding reports and tracking dashboards for new client implementations, ensuring all internal departments meet go-live milestones.
- Support internal audits, compliance submissions, and policy documentation updates related to EMS billing operations.
- Monitor key performance indicators (KPIs) across business units and assist leadership in identifying trends, performance gaps, and improvement opportunities.
- Develop and maintain standard operating procedures (SOPs) and divisional templates to improve efficiency and consistency.
Sales & Client Support
- Assist business development and client success teams in proposal development, client presentations, and contract processing.
- Collaborate with Legal and Finance to ensure client agreements, NDAs, and amendments are properly routed and executed.
- Support lead tracking and opportunity management through CRM tools (HubSpot).
- Prepare follow-up summaries, data sheets, and performance reports for prospective and existing clients.
Cross-Functional Support & Reporting
- Coordinate staff communications, announcements, and departmental updates in collaboration with leadership.
- Support onboarding logistics for new hires and assist with access requests, system setup, and training coordination.
- Contribute to process improvement initiatives, identifying administrative efficiencies and automation opportunities.
Qualifications:
- Bachelor’s degree preferred; relevant experience can substitute for education.
- 3 years of experience in administrative, business support, or operations coordination roles, ideally within EMS and revenue cycle management.
- Proficient in Microsoft 365 (Excel, PowerPoint, Word, Teams), SharePoint, and CRM platforms (HubSpot, Salesforce).
- Excellent organizational, written, and verbal communication skills with strong attention to detail.
- Proven ability to manage multiple priorities and deadlines in a dynamic, fast-paced environment.
- Professional discretion and confidentiality in handling sensitive information.
- Analytical mindset with the ability to collect and present operational data clearly.
- Positive, proactive attitude with a commitment to teamwork and service excellence.
Work Environment:
This role operates in a professional remote/home office setting along with in office days as needed, utilizing standard office equipment such as computers, phones, and scanners.
