Surgery Scheduler
Position Overview
CTOAMG is seeking an experienced Surgery Scheduler to manage the full surgical coordination process for a designated provider/surgeon. This is a high-responsibility role requiring former surgery scheduling experience, strong insurance knowledge, and the ability to operate efficiently in a fast-paced, high-volume medical environment.
You will work directly with one provider and be fully responsible for all of their surgical cases — from authorization to booking to documentation and coordination with hospitals and surgery centers.

Key Responsibilities
Surgical Coordination
- Manage the full lifecycle of assigned provider’s surgeries
- Organize and obtain all required pre-authorizations prior to scheduling
- Work directly with hospitals and surgery centers to book cases efficiently
- Coordinate pre-op appointments and ensure all clearances are completed
- Confirm surgical line-ups in advance
- Ensure all documentation is accurate and complete in the patient chart
- Submit required records and authorizations timely
Insurance & Coding
- Verify insurance eligibility and benefits
- Understand and work with CPT and Dx codes to support authorization submissions
- Follow up aggressively on pending authorizations
Provider & Facility Communication
- Communicate directly with assigned surgeon regarding surgical cases
- Coordinate with hospital and surgery center staff to secure timely operating room dates
- Maintain clear, professional communication with patients and care teams
Operational Excellence
- Maintain organized tracking systems for surgeries and authorizations
- Work efficiently in a high-volume environment
- Demonstrate urgency, ownership, and follow-through
- Adapt to changing priorities and surgical demands
Required Qualifications (Non-Negotiable)
- Former surgery scheduler experience is required
- Experience in orthopedics preferred, but spine, neuro, multidisciplinary specialties, or prior work in a surgery center will be considered
- Strong knowledge of CPT and diagnosis (Dx) surgical codes
- Insurance verification experience (required)
- Experience obtaining and managing surgical pre-authorizations
- Ability to work full-time, Monday–Friday, 8:00 AM–5:00 PM, with flexibility to stay later if urgent surgical matters arise
- Proficiency in Microsoft Office, EHR systems, hospital portals, and online insurance applications
- Excellent written and verbal communication skills
- Ability to work with various personalities and maintain professionalism under pressure
- Strong sense of urgency and accountability
Preferred Qualifications
- Bilingual (English/Spanish)
- Orthopedic surgery scheduling experience
Compensation & Benefits
- $23.00 – $24.50 per hour (based on experience)
