Position Overview

CornerStone Technology Talent Services (TTS) is seeking a highly organized and detail-oriented IT Project Coordinator to support technology initiatives for a municipal government client in Glendale, Arizona.

The ideal candidate will have 2 years of experience coordinating IT projects involving multiple workstreams, a foundational understanding of enterprise technology systems, and hands-on experience maintaining project documentation, tracking deliverables, monitoring budgets, and coordinating cross-functional teams.

This position is ideal for a proactive project professional who thrives in a structured environment, enjoys keeping projects organized, and can effectively support project managers, technical teams, vendors, and business stakeholders.

Key Responsibilities

Project Coordination & Execution

  • Support IT Project Managers in coordinating multiple project workstreams, deliverables, dependencies, and timelines.
  • Maintain detailed project schedules, action item trackers, milestone reports, and status updates.
  • Track project progress, identify potential delays, and escalate risks or issues to project leadership.
  • Coordinate activities across technical teams, business stakeholders, vendors, and external partners.
  • Help ensure project deliverables are completed accurately and within established timelines.

Project Documentation & Reporting

  • Create, update, and maintain project trackers, RAID (Risks, Assumptions, Issues, and Dependencies) logs, and project documentation.
  • Organize and maintain project files, meeting notes, status reports, and related materials in Microsoft SharePoint.
  • Assist with preparing project dashboards, executive updates, and stakeholder communications.
  • Monitor action items, ownership, due dates, and outstanding deliverables.

Technical Project Support

  • Work with IT teams supporting enterprise systems, applications, infrastructure, and integration initiatives.
  • Demonstrate a general understanding of how systems interact, including application integrations, interfaces, and data flows.
  • Coordinate technical discussions, document decisions, and track dependencies between systems or project teams.
  • Support project testing, implementation coordination, and deployment activities as needed.

Budget & Financial Tracking

  • Maintain and monitor project budgets, actual expenditures, forecasts, and financial tracking spreadsheets.
  • Track project expenses, vendor costs, invoices, purchase orders, and budget variances.
  • Assist Project Managers in preparing budget status updates and financial reports.
  • Identify discrepancies and help maintain accurate project financial documentation.

Meeting & Stakeholder Coordination

  • Schedule and coordinate project meetings, status reviews, workshops, and stakeholder discussions.
  • Prepare meeting agendas, capture minutes, document decisions, and distribute follow-up action items.
  • Communicate project updates and outstanding tasks to appropriate stakeholders.
  • Proactively follow up with team members to maintain accountability and project momentum.

Required Qualifications

  • 2 years of experience in IT Project Coordination, Project Administration, or a similar project support role.
  • Demonstrated experience supporting projects with multiple concurrent workstreams and cross-functional teams.
  • Foundational understanding of IT systems, enterprise applications, system integrations, and data flows.
  • Hands-on experience maintaining project trackers, RAID logs, project schedules, and supporting documentation.
  • Proficiency with Microsoft SharePoint, Excel, Outlook, Teams, and other Microsoft 365 applications.
  • Direct experience maintaining and tracking project budgets, including expenses, actuals, and budget reporting.
  • Experience scheduling meetings, preparing agendas, documenting meeting minutes, and following up on action items.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to prioritize competing deadlines and work independently in a fast-paced environment.

Preferred Qualifications

  • Previous experience supporting IT projects in municipal government, public sector, or large enterprise environments.
  • Familiarity with project management methodologies such as Waterfall, Agile, or hybrid approaches.
  • Experience with project management tools such as Microsoft Project, Smartsheet, Jira, or similar platforms.
  • Understanding of procurement processes, vendor coordination, purchase orders, and budget reconciliation.
  • Associate's or bachelor's degree in Information Technology, Business Administration, Project Management, or a related field.
  • CAPM certification or formal project management training is a plus.

What Makes an Ideal Candidate?

The strongest candidate will be someone who can manage the administrative and operational details of several IT project workstreams while understanding how technical dependencies affect schedules, deliverables, and budgets.

We are particularly interested in candidates who can demonstrate:

  • Strong organization: Consistently maintain accurate trackers, documentation, and action items without constant oversight.
  • Technical awareness: Understand discussions involving applications, system integrations, and data movement without needing to be a hands-on engineer.
  • Financial accountability: Have personally maintained project budgets, tracked spending, and reported financial updates.
  • Proactive follow-through: Anticipate needs, identify missing information, and keep project stakeholders aligned.
