Job Summary :
The Payroll Coordinat or will be responsible for the accurate and timely processing of payroll for the school s staff and faculty. This role will focus on entering employee hours, maintaining payroll records, and addressing payroll-related inquiries. The ideal candidate will ensure compliance with school policies and applicable laws, providing essential support for the payroll department in a fast-paced, growing environment.
Key Responsibilities :
Payroll Processing : Process payroll for all employees, ensuring accurate compensation for hourly and salaried staff, including overtime, bonuses, and deductions.
Payroll Data Entry : Accurately enter employee hours, salary adjustments, and other payroll data into the payroll system, ensuring all payroll changes are correctly reflected.
Benefits Administration : Coordinate and process employee benefits deductions, including health insurance, retirement, and other benefits.
Payroll Reconciliation : Review payroll reports for accuracy, ensuring that totals match employee hours, salaries, and deductions, and resolve any discrepancies.
Tax Compliance : Ensure payroll complies with federal, state, and local tax regulations, and accurately calculate withholdings, including FICA, federal, state, and local taxes.
Employee Inquiries : Respond to payroll-related inquiries from employees, providing timely resolutions and maintaining confidentiality.
Reporting : Generate and prepare payroll reports for management, including summary reports, tax filings, and other related payroll documentation.
Record Maintenance : Maintain and organize payroll records, ensuring proper filing, storage, and compliance with retention requirements.
Year-End Payroll Reporting : Assist with the preparation and distribution of year-end tax documents, such as W-2s, for all employees.
Cross-Department Collaboration : Work closely with the HR department to ensure seamless payroll integration with employee changes, benefits updates, and other HR-related information.
Required Skills and Qualifications :
High School Diploma / GED
Degree in Accounting, Business Administration, or related field (preferred)
2 years of experience in payroll processing, with a focus on accuracy and compliance.
Experience with payroll software (I-Solve preferred, SAP, QuickBooks a plus).
Strong attention to detail, organizational skills, and the ability to handle confidential information.
Knowledge of federal, state, and local payroll tax regulations.
Excellent communication skills and the ability to collaborate with employees and department managers.
Ability to manage multiple tasks in a fast-paced environment.
