What are the responsibilities and job description for the Administrative Assistant/Scheduler position at Core Dermatology?
Core Dermatology is seeking an experienced Administrative Assistant/Scheduler to join our Peoria Ambulatory Surgery Center. This is a full-time position that will be on-site.
Position Overview:
Reporting directly to the Director of Surgical Services, the Administrative Assistant/Scheduler will be responsible for numerous administrative duties for the surgery center, also responsible for the scheduling/coordinating of hospital and procedure rooms, follow up appointments, and Mohs cases.
Responsibilities:
- Screens new patients for admission and assign permanent identification numbers to each, prepares new charts for each patient and enters all pertinent patient geographic data.
- Creates or updates current forms and assists with development of reports, as needed.
- Schedules new referrals for initial Path Tracking appointments with appropriate provider.
- Coordinates with Director of Surgical Services to schedule Proctor hospital blocks.
- Schedules all hospital cases.
- Responsible for building charts for all procedural cases, producing labels, printing lab work, and gathering all necessary documentation for Mohs and local Plastics cases.
- Assists Recovery Room nurses and Plastics Nurses in coordinating medical clearance and testing paperwork, using Elink and Epic along with contacting other medical offices.
- Responsible for building packet for History and Physical appointments prior to all hospital and PASC OR cases.
- Schedules Mohs/PR cases from To-Do List attempting a 1-2 business day turn around for initial contact.
- Coordinates Plastics and Mohs cases for repair as needed.
- Coordinates and schedules post-procedure and Mohs follow-up appointments at the time of initial procedure scheduling.
- Enters times onto all procedure fee sheets, scans to billing department once entered.
- All other administrative needs as assigned.
- Other activities to assist PASC Nurse Manager and Director of Surgical Services as needed.
- Works as a cohesive team with other staff to ensure efforts are coordinated and high-quality patient care is provided.
- Enhances professional growth and development through participation in educational programs, current literature, in-services/trainings, and attends other meetings as required.
- Maintains and assures confidentiality regarding patients, clients, other employees, or any information regarding the company.
- Adheres to all departmental and organizational policies and procedures.
- Maintains a positive attitude in working to achieve departmental and organizational goals.
- Exhibits professional behavior and communication to all patients, clients, and other employees.
Requirements:
- High school diploma or equivalent required.
- Minimum of three (3) years work experience, preferably in a clinic setting or a customer service position.
- Must be highly organized and detail oriented.
- General knowledge of medical office procedures preferred but not required.
- Proficiency in scheduling software and Microsoft Word.
- Strong verbal communication skills with the ability to speak clearly and concisely.
- Ability to read, comprehend, and follow oral and written instructions accurately.
- Demonstrated ability to establish and maintain effective working relationships with patients, medical staff, and the public.
- Commitment to maintaining confidentiality of sensitive information.
- Strong problem-solving skills, including the ability to identify issues, evaluate solutions, and correct errors effectively.

Salary Information:
This is a Non-Exempt position. Pay will be based on years of experience. The budgeted annual hourly pay range is $17.00-$22.10.
