We are looking for a detail-oriented, organized Bookkeeper / Office Administrator to help keep our office running efficiently.
Position Summary
The Bookkeeper / Office Administrator is responsible for managing the agency's day-to-day bookkeeping functions while providing administrative support to ensure smooth office operations. This position requires excellent organizational skills, attention to detail, confidentiality, and the ability to prioritize multiple tasks.
ResponsibilitiesBookkeeping
- Process accounts payable and accounts receivable
- Reconcile bank and credit card statements
- Prepare and record daily deposits
- Maintain accurate financial records
- Assist with monthly financial reporting
- Process employee expense reimbursements
- Coordinate with CPA for month-end and year-end reporting
- Assist with payroll processing and payroll records
- Maintain vendor files and issue payments
Office Administration
- Answer and direct incoming phone calls
- Manage incoming and outgoing mail
- Order and maintain office supplies
- Maintain electronic and paper filing systems
- Schedule appointments and meetings
- Assist with agency licensing and compliance tracking
- Prepare reports, spreadsheets, and correspondence
- Support agency staff with administrative tasks
- Maintain office equipment and coordinate service when needed
Qualifications
- 3 years of bookkeeping and administrative experience
- Proficiency in QuickBooks (Desktop or Online preferred)
- Experience with Microsoft Office (Excel, Word, Outlook)
- Excellent organizational and time management skills
- Strong attention to detail and accuracy
- Ability to maintain confidentiality
- Strong written and verbal communication skills
- Ability to work independently and as part of a team
- High school diploma required; associate's degree in accounting or business preferred
Preferred Qualifications
- Experience working in an insurance agency
- Familiarity with agency management systems (such as AMS360) is a plus
- Payroll processing experience
- Experience with vendor management and office administration
