Role Description
We are seeking an experienced and detail-oriented Executive and Personal Assistant to support the principals and operations of Copford Capital Management. This full-time, on-site role, based in Denver, CO, entails managing a variety of administrative, organizational, and personal tasks. Responsibilities include calendar coordination, meeting scheduling, travel arrangements, correspondence management, and supporting day-to-day operational needs of the principals. The ideal candidate will have a proactive approach, exceptional multitasking skills, and a high level of discretion when managing sensitive information.
Key Responsibilities
Calendar, Communications & Executive Coordination
· Manage a complex, evolving calendar spanning business, board, and personal commitments
· Proactively resolve scheduling conflicts and keep the CEO aligned on priorities and next steps
· Provide timely reminders and updates to keep the CEO on track daily
· Gather and track meeting materials, including board and supporting documents
· Partner with internal and external contacts to ensure materials are complete and review-ready
· Route and follow up on time-sensitive documents for review and signature, in-office or while traveling
· Draft and refine correspondence with accuracy and professionalism
· Serve as a primary point of contact for internal and external stakeholders
· Track outstanding items and follow up to ensure timely completion of key priorities
Travel & Event Logistics
· Coordinate extensive, frequently changing domestic and international travel
· Build detailed itineraries covering flights (commercial and private), accommodations, and ground transportation
· Manage private aviation logistics with pilots and FBOs, plus car service arrangements, ensuring all details are confirmed and communicated
· Manage registrations for board meetings, corporate events, and industry conferences, meeting all deadlines
· Handle real-time travel changes to ensure seamless execution
· Arrange in-flight catering and special requests for business and family travel
Personal, Family & Philanthropic Support
· Assist with personal scheduling, reservations, and family logistics, including travel
· Provide administrative support for family foundation activities
· Coordinate charitable events, including attendee outreach for sponsored tables
· Plan employee engagement initiatives such as team events, volunteer days, and holiday gatherings
Qualifications
- 7 years of Executive Assistant experience supporting senior executives, founders, or high-net-worth individuals; Family office experience strongly preferred
- Expert-level calendar management in Outlook, with strong prioritization and gatekeeping skills to maximize the CEO's time
· Experience coordinating complex travel, including private aviation (FBO experience preferred)
· Advanced proficiency in Microsoft Outlook and Adobe Acrobat Pro; SharePoint and OneDrive experience preferred
· Notary Public preferred
· Strong written communication skills, including drafting and editing correspondence with attention to detail and accuracy
· Proven ability to manage confidential information with discretion
· Ability to juggle multiple priorities with strong follow-through and adaptability, incorporating feedback quickly while maintaining a high standard of execution
· Collaborative team player willing to contribute across a small office environment while delivering top-tier executive support
Work Environment
- Full-time, in-office (Monday–Friday) in Denver
- Fast-paced, high-touch environment with shifting priorities
- Requires flexibility and responsiveness outside standard business hours
Compensation & Benefits
- Salary range: $90,000 – $110,000 annually
- This is an exempt, salaried position
- Unlimited Paid Time Off
