We are seeking a highly organized and detail-oriented Sales Scheduling & Customer Service Coordinator to support our sales team and manage our Costco partnership account. This role is responsible for scheduling daily sales appointments, contacting new leads, processing job payments, and completing required Costco documentation. The ideal candidate is confident on the phone, comfortable with administrative tasks, and thrives in a fast-paced environment.
Responsibilities
- Schedule and manage daily appointments for sales representatives, ensuring efficient routing and time management
- Contact new and existing leads to confirm appointments, follow up on inquiries, and provide updates
- Serve as the primary point of contact for customers associated with our Costco partnership
- Complete and maintain all required Costco paperwork accurately and on time
- Ring up jobs, process payments, and track payment status for completed and scheduled work
- Accurately enter and update customer, job, and payment information in internal systems
- Handle inbound and outbound calls in a professional and courteous manner
- Address customer questions or concerns related to scheduling, pricing, and next steps
- Collaborate with sales representatives and internal team members to ensure smooth job flow
- Maintain organized records and documentation for sales activity and customer accounts
Qualifications
- Excellent verbal and written communication skills
- Strong phone presence and customer-service mindset
- Previous experience in scheduling, sales coordination, customer service, or office administration preferred
- Ability to confidently make outbound calls to leads and customers
- Comfortable handling payments, invoicing, and basic financial tracking
- High attention to detail and strong organizational skills
- Proficient with data entry and computer systems (CRM or scheduling software experience a plus)
- Ability to multitask and prioritize in a fast-paced office environment
