Cook’s Direct is seeking a detail-oriented and customer-focused Sales Support Representative to manage the day-to-day order and quote workflow for our institutional clients. In this role, you will own order entry in Business Central, prepare and manage customer and vendor quotes, handle inbound customer calls, and maintain the data integrity of our customer and contact records.

Position Overview
Cook’s Direct is seeking a detail-oriented and customer-focused Sales Support Representative to manage the day-to-day order and quote workflow for our institutional clients. In this role, you will own order entry in Business Central, prepare and manage customer and vendor quotes, handle inbound customer calls, and maintain the data integrity of our customer and contact records.
Key Responsibilities
Sales Order Entry
- Enter assigned sales orders accurately and promptly in Microsoft Dynamics Business Central (BC).
- Perform peer sales order reviews to verify pricing, quantities, ship-to information, and accessory items before release.
- Follow up on open orders to confirm acknowledgements, resolve holds, and keep orders moving toward on-time shipment.
- Build customer quotes in Business Central and AutoQuote (BC/AQ), ensuring product, pricing, and terms are correct.
- Request and track vendor quotes, following up to obtain timely pricing, lead times, and product specifications.
- Obtain and document freight quotes in BC/AQ for accurate landed-cost pricing.
- Manage the full quote lifecycle: revisions, expirations, follow-up with customers, and conversion of approved quotes to orders.
- Manage inbound customer calls professionally, capturing complete information and routing or resolving each call appropriately.
- Notify customers of relevant upsell opportunities and active promotions during quoting and order conversations.
- Send timely order confirmation notifications and verify that order details match customer expectations.
- Proactively communicate order updates, including backorders, shipping changes, and delivery timing.
- Categorize orders accurately so reporting and analytics reflect true business activity.
- Maintain customer categorization (segment, type, status) to support targeted sales and marketing efforts.
- Categorize and maintain customer contacts so the right people are reached for the right communications.
- Perform master account maintenance, keeping account hierarchies, terms, and key data current in BC.
- Maintain customer contact records, ensuring names, titles, phone numbers, emails, and roles are accurate and up to date.
- Other duties as assigned.
- 2 years of order entry, inside sales support, or customer service experience, preferably in a B2B environment.
- Strong attention to detail with proven accuracy in entering orders, quotes, and account data.
- Clear, professional verbal and written communication skills for customer and vendor interactions.
- Ability to manage multiple open orders, quotes, and follow-ups simultaneously in a fast-paced environment.
- Proficiency in Microsoft Office, particularly Outlook and Excel.
- Experience with quoting tools (e.g., AutoQuote) and vendor/freight quote management.
- Background in foodservice, food equipment, distribution, or a related industry.
- Familiarity with institutional or government procurement processes (corrections, education, healthcare).
- Experience maintaining CRM or master account data (categorization, contacts, hierarchies).
- Highly organized self-starter who follows through on open items without being prompted.
- Strong sense of ownership over data quality and process accuracy.
- Collaborative team player who communicates openly with sales, operations, and warehouse colleagues.
