Ministry Function:
As a member of the International Program (IP) team, the IP Operations Assistant supports the ministry of Convoy of Hope through proactive administrative stewardship. This role is responsible for coordinating tasks and projects required to sustain and advance International Programs’ global scope of work.
Essential Duties and Responsibilities:
- Supports the lifecycle of capital expenditures by assisting with strategic planning, maintaining records, and ensuring accurate data tracking.
- Streamlines expense management by facilitating comprehensive credit card reporting for International Program leadership.
- Drives project success by contributing to the planning, execution, and timely delivery of key milestones and deliverables.
- Maintains operational readiness by assisting with managing the inventory for working group equipment, resources, and critical files.
- Orchestrates complex travel itineraries for IP leadership, collaborating closely with the Travel Team to ensure seamless transitions.
- Coordinates meeting planning from start to finish including invitation management, technical setup, and execution.
- Partners with the IP team to plan and host events and activities.
- Enhances team efficiency through proactive calendar management, file maintenance, and streamlined internal communications.
- Fulfills all other duties as assigned.
Required Knowledge, Skills, and Abilities:
- One or more years of relevant work experience is preferred. A bachelor’s degree is preferred; a high school diploma or equivalent is required.
- Position is located at the Global Headquarters & Training Center in Springfield, Missouri.
- Possesses significant cultural understanding and respect in maintaining vital relationships while managing confidential information in a professional manner.
- Demonstrates strong organizational and communication skills, meticulous attention to detail, and ability to multi-task and manage deadlines.
- Exhibits strong Mac or PC proficiency and working knowledge of Google Workspace and Microsoft Office, with the ability to quickly learn other CRM systems as needed.
- Works independently, resourcefully, and to own initiative, with flexibility to changing priorities and an eagerness to learn.
- Demonstrates optimism, flexibility, and dedication in a fast-paced office environment.

This position has no supervisory responsibilities.
This is a full-time, temporary position with an expected duration of 8 weeks.
