Ministry Function:
The Donations Processing Assistant supports the ministry of Convoy of Hope by ensuring accurate and complete processing of incoming donations. This position is responsible for managing Convoy’s lockbox, donor supporting documentation, online donation portals, and ensuring database accuracy.
Essential Duties and Responsibilities:
- Accurately enters and processes donations received via mail, online, wire/ACH, workplace giving, and other sources in Salesforce.
- Coordinates lockbox process and conducts daily lockbox audits for check donations.
- Compiles supporting documentation for donations received through third-party portals including Blackbaud, CyberGrants, JustGiving, GlobalGiving, and similar platforms.
- Manages process for payroll deduction and matching gifts for online platforms.
- Coordinates with internal teams or platform representatives to obtain missing or unclear documentation.
- Creates and maintains training videos through Bridge for data entry team.
- Trains new data entry team members.
- During disasters, update Benevity's project listing on their website.
- Leads end-of-year donation processing.
- Supports the accomplishment of overall goals and objectives for donation processing.
- Utilizes Monday.com for tracking donations workflow.
- Maintains donor and database records by accurately updating account information.
- Maintains donor confidentiality.
- All other duties as assigned.
Required Knowledge, Skills, and Abilities:
- High school diploma or equivalent required.
- Three to five years of data entry experience preferred.
- Ability to key data quickly and accurately.
- Ability to sit for extended periods of time entering data.
- Strong organization skills.
- Ability to successfully multitask, efficiently and accurately complete projects.
- Ability to positively contribute to team projects and cooperate with team members.
- Must be PC proficient and able to work with software programs, including but not limited to, Microsoft Word and Excel.
- Basic grammar, punctuation and arithmetic skills and the ability to concentrate are necessary for entering accurate data.
- Attention to details and the ability to catch possible mistakes while performing tasks.
- Ability to follow verbal directions and written processes accurately and methodically.
- Attends and actively participates in COH At Home Week meetings and activities as a required responsibility to the organization and fellow team members.
- Serves as an advocate for the ministry, striving to nurture, broaden, and develop financial and other resource opportunities to support and expand organizational and program ministry.
- Positively represents the ministry of Convoy of Hope, including its mission statement and core values, to all outside constituencies.
- As a Christian organization, Convoy of Hope believes it is critical that team members embrace the organization's religious purposes for which it exists and not only agree with its Statement of Faith but demonstrate it in their lives on an ongoing basis.
