Job Description
The Inside Sales Coordinator is responsible for supporting customers with replacement parts while also managing purchasing and procurement activities to ensure product availability and timely order fulfillment.
This role handles incoming parts inquiries, identifies correct replacement components, prepares quotes, processes orders, and sources materials from vendors when inventory is not available. The position works closely with warehouse and supplier partners to maintain accurate pricing, inventory levels, and lead times.
The ideal candidate is detail-oriented, proactive, and comfortable managing both customer-facing sales activities and behind-the-scenes procurement responsibilities in a fast-paced industrial environment.
Duties and Responsibilities
· Manage incoming e-commerce, email, and phone orders, RFQs, and customer inquiries
· Provide customer support via email, phone, and online platforms
· Ensure accurate order entry, pricing, and product selection in the system
· Monitor product availability, lead times, and inventory levels for sales
· Work closely with the warehouse team to confirm order fulfillment timelines
· Work with Engineering to solve technically complex parts requests
· Assist customers with product selection, part identification, and compatibility questions
· Maintain and update product listings, descriptions, and pricing accuracy on e-commerce platforms
· Process order changes, returns, and issue resolution in a timely manner
· Track and manage open orders through fulfillment and delivery
· Lead the development and improvement of the e-commerce customer experience
· Coordinate with marketing or sales on online promotions and product launches
· Maintain accurate documentation of customer interactions and order history in CRM/ERP systems
· Ensure customer satisfaction through timely communication and follow-up
Required Experience/Skills
· Associate’s degree or equivalent experience in business, sales, or related field
· 2–4 years of experience in inside sales, customer service, order processing, or e-commerce support
· Strong attention to detail and accuracy in data entry and order management
· Excellent written and verbal communication skills
· Strong organizational and time management abilities
· Ability to manage multiple orders and customer requests simultaneously
· Proficiency in Microsoft Office products
· Experience with CRM or ERP systems (HubSpot, QuickBooks, or similar preferred)
· Comfortable working in a technical or industrial product environment
Nice-to-Haves
· Experience with e-commerce platforms (WooCommerce, Shopify, BigCommerce, or similar)
· Background in industrial parts, conveyors, or manufacturing supply sales
· Familiarity with product catalogs, SKUs, and inventory management systems
· Experience in B2B online sales or distributor environments
· Basic understanding of mechanical or electrical components
· Experience with HubSpot or integrated e-commerce/CRM systems
