Contour Medical Aesthetics is a physician-led, boutique medical aesthetics practice dedicated to delivering exceptional patient experiences and natural, results-driven treatments. As our practice continues to grow, we're looking for an enthusiastic, personable, and highly organized individual to join our team in a hybrid Front Desk & Marketing Support role.

This is a great opportunity for someone who enjoys connecting with people, has an interest in beauty, wellness, and aesthetics, and is excited to gain hands-on experience with events, community partnerships, and social media.

Position Overview

The Medical Spa Receptionist & Marketing Support team member will play an important role in creating a welcoming, seamless patient experience while assisting with Contour's marketing and community engagement efforts.

We're looking for someone who is professional, proactive, detail-oriented, and comfortable balancing front desk responsibilities with creative and administrative projects.

The ideal candidate is equally comfortable welcoming patients, managing appointments, helping prepare for an event, or capturing content for Instagram.

Key Responsibilities

Front Desk & Patient Experience

• Greet patients warmly and create a polished, welcoming experience from arrival through checkout.
• Manage appointment scheduling, confirmations, cancellations, and patient inquiries.
• Answer incoming calls, respond to messages, and provide helpful information about services, memberships, and promotions.
• Assist patients with scheduling follow-up appointments and encourage rebooking.
• Support patient retention by building relationships and helping patients stay informed about relevant services and offerings.
• Process payments and maintain accurate patient information in our scheduling system.
• Keep the reception area organized, clean, and welcoming.
• Work closely with providers, aestheticians, and management to ensure smooth daily operations.
• Assist with general administrative responsibilities as needed.

Marketing, Events & Community Support

• Assist with planning, preparing for, and executing local events, pop-ups, and community activations.
• Help research and identify potential partnerships with local businesses, fitness studios, wellness brands, and community organizations.
• Support communication and outreach with potential partners and event organizers.
• Assist with Instagram content, including capturing photos and videos, creating Stories, and helping prepare posts.
• Help create and organize marketing materials, promotional flyers, giveaways, and event supplies.
• Support the promotion of upcoming events, seasonal specials, and practice initiatives.
• Assist with event lead collection, organization, and follow-up.
• Collaborate with the management team on creative ideas to increase brand awareness and community engagement.

Qualifications

Required:

• Previous experience in a customer-facing, reception, hospitality, retail, or administrative role.
• Excellent communication and interpersonal skills.
• A polished, professional, and friendly demeanor.
• Strong organizational skills and attention to detail.
• Ability to multitask, prioritize responsibilities, and work efficiently in a busy environment.
• Comfortable using technology, social media, and scheduling software.
• Reliable, adaptable, and comfortable working both independently and as part of a team.
• Ability to work at both our Scarsdale and Bronxville locations.
• Must be available to work Saturdays.
• Flexibility to occasionally support evening events and community activations.

Preferred, but Not Required:

• Previous experience in a medical spa, dermatology office, plastic surgery practice, or beauty/wellness environment.
• Familiarity with Instagram, Canva, or basic social media content creation.
• Experience assisting with events, partnerships, or community outreach.
• Familiarity with Boulevard or similar scheduling and patient management software.
• An interest in skincare, aesthetic treatments, and the medical aesthetics industry.

Schedule & Location

• Full-time, in-person position supporting our Scarsdale and Bronxville locations.
• Saturday availability is required.
• The full weekly schedule and allocation of front desk and marketing support responsibilities will be discussed during the interview process.
• Occasional evening availability may be required for special events and community activations.
