Responsibilities
- Manage day-to-day office operations, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and courtesy.
- Coordinate scheduling and calendar management for team members and executive leadership to optimize productivity.
- Oversee vendor management by negotiating contracts, processing invoices using QuickBooks, and maintaining positive supplier relationships.
- Supervise administrative staff and provide training & development opportunities to ensure high performance in clerical and office tasks.
- Handle bookkeeping, payroll processing, budgeting, and human resources functions to support organizational compliance and financial accuracy.
- Organize events, meetings, and company functions through detailed planning and logistical coordination.
- Maintain filing systems, manage document control, and ensure confidentiality in all recordkeeping activities related to medical or general office management.
Experience
must have social media management, content creator, website builder and graphic design experience
- Proven experience in office administration or management roles with demonstrated supervisory responsibilities.
- Strong background in clerical tasks such as filing, data entry, and front desk operations within an office environment.
- Familiarity with QuickBooks for bookkeeping and payroll processing is highly desirable.
- Experience managing schedules, calendars, vendor relationships, and event planning is essential.
- Knowledge of human resources practices including onboarding, training, employee relations, and compliance is preferred.
- Prior experience in medical office management or healthcare settings is a plus but not required.
