Duties
- Oversee daily office operations, ensuring all administrative functions run efficiently and effectively
- Manage calendar scheduling, appointments, and meeting arrangements for leadership and staff
- Supervise administrative staff and coordinate training & development initiatives to enhance team performance
- Handle vendor management, including negotiating contracts, processing invoices, and maintaining supplier relationships
- Maintain accurate bookkeeping records using QuickBooks or similar accounting software for budgeting and financial tracking
- Coordinate event planning activities such as staff meetings, company events, and community outreach programs
- Manage front desk responsibilities including greeting visitors, answering multi-line phone systems, and maintaining professional phone etiquette
- Oversee human resources functions such as onboarding new employees, managing payroll processes, and supporting employee relations
- Organize filing systems—both digital and physical—to ensure easy access to important documents
- Support medical office management tasks if applicable, including patient scheduling and record keeping
Qualifications
- Proven experience in office management or administrative roles with a strong background in clerical and organizational tasks
- Supervising experience with demonstrated ability to lead teams effectively
- Proficiency in QuickBooks or comparable bookkeeping/accounting software
- Excellent communication skills—both verbal and written—and strong interpersonal abilities
- Skilled in schedule management, calendar coordination, and multi-tasking in fast-paced environments
- Experience with vendor management, budgeting, payroll processing, and human resources functions
- Knowledge of medical office management is a plus but not required
- Familiarity with front desk operations, multi-line phone systems, filing procedures, and office software tools
- Ability to train team members effectively while fostering a positive work environment
