Job Summary
We are seeking a highly organized, proactive, and discreet Human Resources Administration Assistant with a minimum of 3 years of experience to support our HR Director and HR department. The ideal candidate will be the "right hand" to the HR Director, acting as the first point of contact for employees and ensuring the smooth day-to-day operations of the department. This role involves a mix of high-volume administrative tasks, onboarding/offboarding, compliance management, and direct assistance to the HR Director with special projects and reporting.
This role is in-person at our headquarters in Pleasanton, CA.
Key Responsibilities
- Support to HR Director: Provide comprehensive administrative support to the HR Director, including calendar management, scheduling meetings, drafting correspondence, preparing presentations, and compiling confidential reports.
- HRIS & Data Management: Maintain and update employee records in the HRIS/database (e.g., BambooHR, ADP, Workday), ensuring 100% data integrity for payroll and compliance.
- Employee Relations & Support: Act as the first point of contact for employee inquiries regarding policies, benefits, leaves (FMLA/PTO), and payroll, escalating complex issues to the Director.
- Compliance & Reporting: Ensure all employee files are legally compliant. Run regular reports on KPIs such as headcount, turnover, and turnover rates to support director-level decision-making.
- Policy Administration: Review, update, and distribute company policies, handbook updates, and FAQ documents.
Required Skills and Qualifications
- Experience: Minimum of 3–5 years of work experience in HR administration or a similar HR support role.
- Technical Proficiency: Advanced skills in MS Office (Word, Excel, PowerPoint) and proven experience with Human Resources Information Systems (HRIS) and Applicant Tracking Systems (ATS).
- Confidentiality: Exceptional discretion in handling sensitive personnel information and employee relations issues.
- Communication: Excellent verbal and written communication skills, with the ability to interact professionally with all levels of the organization.
- Organizational Skills: Ability to prioritize tasks, multitask, and meet tight deadlines in a fast-paced environment.
- Education: Bachelor’s degree in Human Resources, Business Administration, or related field preferred (relevant experience may be considered in lieu of a degree).
Preferred Qualifications
- SHRM-CP or PHR certification.
- Experience supporting a director-level executive.
- Knowledge of California employment law (if applicable).
Salary : $85,000 - $110,000
