Key responsibilities : Administrative AssistantVisitor and Client Interaction:Greet and assist visitors in a friendly and professional manner.Provide basic information to clients and guests.Maintain a clean, tidy, and presentable reception area.Communication and Correspondence:Answer, screen, and forward incoming phone calls.Manage and sort incoming and outgoing mail and deliveries.Draft and send emails, memos, and letters as needed.Administrative Support:Schedule and confirm appointments, meetings, and events.Manage and maintain office calendars.Perform data entry, copying, scanning, and filing.Order and restock office supplies.Assist with preparing reports, presentations, and other documents.Other Duties:Perform other administrative tasks as required by management.Assist with special projects or events as needed.Key responsibilities : Certified Payroll AssistantCertified Payroll Auditing & Reporting: Assist generating and submitting certified payroll reports required for government-funded projects to meet prevailing wage and other contract requirements. Verifying calculations for Prevailing Wage Rates, fringe benefits, taxes, and benefits. Performing audits on certified payroll documents to ensure accuracy and submission through various systems, like the DIR system and LCPtracker, including past payroll submissions to ensure proper payments were made.Reporting: Preparing reports for Compliance and HR departments as needed.Compliance monitoring: Tracking subcontractor compliance, ensuring they properly submit certified payrolls and required documentation.Documentation management: Maintaining accurate records and files for all payroll-related activities, including forms such as DAS140 and DAS142.Essential skills and qualificationsExperience: A minimum of one year of certified payroll or prevailing wage experience is often required, with construction payroll experience being a plus.Software proficiency: Familiarity with certified payroll software like LCPtracker, and government systems like the California DIR system is essential. Experience with other payroll software and Microsoft Office applications is also valuable.Knowledge of laws: Strong knowledge of prevailing wage laws, Davis-Bacon, DIR, and other federal and state regulations related to government contracts.Soft skills: Excellent organizational and time management skills, attention to detail, and strong communication and interpersonal skills are crucial for success.Bilingual ability: In some roles, bilingual skills may be required or preferred, particularly in areas with a large Spanish-speaking workforce.
Salary : $60,000 - $75,000
