Position Summary
This is a part-time position, M-T-W; 8:00 a.m. to 5:00 p.m.
The Administrative Assistant will provide essential support to our team by managing day-to-day administrative tasks, coordinating communications and ensuring smooth office operations. The ideal candidate will be proactive, dependable and able to manage multiple priorities efficiently.

Essential Duties & Tasks
- Prepare, edit, and proofread documents, reports and correspondence
- Maintain organized electronic filing systems
- Answer and direct phone calls and respond to incoming emails
- Process incoming and outgoing mail (FedEx, USPS, etc.)
- Assist with data entry and recordkeeping in Quickbooks Online and Desktop
- Monthly Bank Statements
- Support other departments with special projects as needed
Knowledge, Skills, and Abilities
- Organizational Skills: Must be highly organized, and detail-oriented.
- Time Management: Must be able to multi-task effectively and meet clearly established deadlines.
- Technical Proficiency: Proficiency in spreadsheet organization and management is required.
- Communication: Excellent written and verbal communication skills are a requirement, including a good phonetic and speaking voice for customer interactions.
- Digital Skills: The role requires minor social media management skills to update accounts and drive website traffic, as well as the ability to make website updates as needed.
- Problem-Solving & Creativity: The role also involves creativity to design and assess efficiency.
- Software Proficiency: Microsoft programs, primarily Outlook, Word, and Excel as well as Quickbooks Online and Desktop.
Qualifications and Physical Requirements
- High school diploma or equivalent
- 2 years of administrative or office support experience
- Hands-on and ability to carry out tasks with minimal monitoring
- Excellent written and verbal communication skills
- Strong attention to detail and organizational skills
- Ability to work independently and as part of a team
- A self‑starter who can take initiative and keep operations running smoothly
- General Knowledge of Construction, Accounting, Financial Services or Bookkeeping experience a plus
