Position Overview:
We are seeking a highly organized and detail-oriented Office Administrator to support our Shipping & Receiving Department. This role is responsible for managing daily administrative and clerical tasks that ensure smooth and efficient shipping, receiving, and documentation processes. The ideal candidate will thrive in a fast-paced manufacturing environment, have strong communication skills, and be comfortable coordinating between departments to maintain accuracy and flow.
Key Responsibilities:
Maintain and process all shipping and receiving documentation, including BOLs, packing slips, and invoices
Input and update shipment data in ERP or internal tracking systems
Communicate with carriers, vendors, and internal departments regarding shipments, pickups, and deliveries
Track incoming and outgoing materials to ensure accuracy and timely processing
Support the Shipping Supervisor and Logistics team with scheduling, reporting, and coordination
File and organize paperwork (digital and physical) for audit and compliance purposes
Reconcile daily shipping logs and assist with inventory adjustments as needed
Manage correspondence, data entry, and administrative tasks to support departmental operations
Assist with maintaining safety and compliance documentation within the department
Provide general office support including answering phones, printing, copying, and recordkeeping
Qualifications:
High school diploma or equivalent
2+ years of administrative experience, ideally in a manufacturing, warehouse, or logistics environment
Proficiency in Microsoft Office (Excel, Outlook, Word)
Experience with ERP or shipping systems (e.g., SAP, Oracle, or similar) preferred
Excellent organizational and time-management skills
Strong written and verbal communication abilities
Ability to multitask and prioritize in a fast-paced setting
Attention to detail and commitment to accuracy
