Job Overview
We are seeking a highly organized and detail-oriented Office Administrator to support our growing irrigation and landscape operations team. This role is responsible for coordinating schedules, managing customer communication, and ensuring smooth day-to-day administrative operations.
Key Responsibilities
- Schedule irrigation service calls, installations, and maintenance appointments
- Coordinate with field technicians and ensure efficient routing
- Handle inbound and outbound customer communication (calls, emails, follow-ups)
- Prepare estimates, invoices, and work orders
- Maintain accurate customer records and job tracking in company systems
- Assist with billing, collections, and reporting
- Order and track materials and supplies as needed
- Support management with general administrative tasks
Qualifications
- Previous administrative or office experience (irrigation, landscaping, or construction industry preferred)
- Strong organizational and multitasking skills
- Excellent communication and customer service abilities
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience with CRM or scheduling software is a plus
- Ability to work in a fast-paced environment and prioritize tasks
Preferred Experience
- Knowledge of irrigation systems or landscaping operations
- Familiarity with service scheduling and dispatching
- QuickBooks or similar accounting software experience
