Job Summary
We are seeking a detail-oriented, client-focused Customer Service Representative to support day-to-day communication, scheduling, and service coordination for our client base. This role ensures a seamless customer experience by handling scheduling requests, assisting with order processing, and providing direct support to both clients and our internal teams.
The ideal candidate will be highly organized, responsive, and comfortable supporting multiple projects in a fast-paced, technical environment.
Responsibilities
- Coordinate daily customer bookings and service activities, including scheduling, order entry, pricing, expediting, status updates and resolving issues that delay on-time delivery
- Be the first point of contact for client inquiries via phone and email
- Schedule on-site calibrations, service visits and correspond with customers
- Enter and process customer orders through company Intranet and ERP systems
- Coordinate purchasing and procurement of materials to support job completion
- Track and manage client communication and service history using HubSpot CRM
- Process completed work orders and prepare them for billing
- Research product availability and coordinate with purchasing as needed
- Assist with order confirmations, shipping details and follow-ups
- Provide general administrative support to account managers, inside sales and field service teams
- Participate in daily scheduling meetings and cross-functional collaboration sessions
Required Qualifications
- 2 years of customer service, administrative or client-facing experience (experience in industrial, technical or manufacturing sectors preferred)
- Excellent written and verbal communication skills
- Strong organizational and time-management skills with a high attention to detail
- CRM proficiency preferred (HubSpot training provided)
- Ability to handle multiple tasks and adjust priorities quickly
- Strong problem-solving abilities and a proactive mindset
- Team-oriented, dependable and responsive
