Duties
- Manage daily office operations, including overseeing front desk activities, greeting visitors, and coordinating office supplies and maintenance
- Handle multi-line phone systems with professionalism, providing exceptional customer service and client communication
- Maintain accurate financial records using QuickBooks Online and other productivity software, including invoicing, expense tracking, and bank reconciliations
- Perform data entry tasks with precision, ensuring all records are up-to-date and organized in spreadsheets or Microsoft applications
- Support calendar management and scheduling for team members, including personal assistant duties when needed
- Assist with filing, proofreading documents, and preparing correspondence using Word processing tools such as Microsoft Word
- Provide excellent customer support via phone, email, or in person while maintaining proper phone etiquette and professional demeanor
Experience
- Proven office management experience with a strong background in administrative tasks and clerical support
- Demonstrated bookkeeping skills, particularly with QuickBooks Online or similar accounting software
- Excellent computer literacy across Microsoft Office Suite, spreadsheets, and productivity software
- Bilingual abilities are highly desirable to facilitate communication with diverse clients and team members
- Strong organizational skills with the ability to multitask efficiently while managing time effectively
- Experience in front desk operations, data entry, proofreading, filing, and customer service roles
