Responsibilities for Administrative Specialist
→ Provide administrative support for a small engineering consulting firm.
→ Perform data entry, filing, and document proofreading to maintain accurate records and ensure high-quality communication
→ Provide bookkeeping services, including:
· Processing Accounts Payable and Cash Disbursements
·Preparing periodic statistical and financial reports.
· Verifying the accuracy of journal and ledger postings and making adjustments when necessary.
· Reconciling bank statements.
· Recording revenues.
→ Perform data entry, filing, and document proofreading to maintain accurate records and ensure high-quality communication.
→ Support ConfluenceES in providing administrative support for small governmental organizations (e.g. Groundwater Sustainability Agencies, Mutal Water Companies, etc.)
→ Interface with team members and client representatives to manage schedules, coordinate meetings, and ensure timely communication.
→ Engage and collaborate with project teams to support understanding and delivery of client needs and expectations.
→ Prepare and edit reports, correspondence, presentations, and other communication materials for both technical and non-technical audiences.
→ Maintain organized records, files, and databases to support project execution and compliance.
→ Assist in the development of project scope, schedules, and budgets, including tracking expenses and processing invoices.
→ Support the preparation and submission of regulatory compliance documentation.
→ Coordinate travel arrangements, event logistics, and meeting planning for staff and clients.
→ Research and summarize information to support project managers and technical staff.
→ Contribute to a positive, collaborative, and efficient office environment.
Desired Skills and Experience for Administrative Specialist
→ Work experience in an administrative, office management, bookkeeping or related support role.
→ Proficiency using Microsoft Office Suite (Word, Excel, Teams, Outlook).
→ Associate's or Bachelor's Degree in Business Administration, Office Management, or a related field is preferred.
→ Knowledge or proficiency in Quickbooks and/or other accounting software platforms
→ Strong communication skills and ability to communicate effectively orally and in writing.
→ Highly organized, detail-oriented, and able to manage multiple priorities.

→ Experience with scheduling, document management, and office operations.
