Purpose Statement
The job of Registrar is done for the purpose/s of registering of students and maintaining computerized student records and files; providing student information to authorized parties in compliance with established policies; maintaining assigned school site’s data and data system; providing user-support for the system for site staff; and providing general clerical support, information, and/or direction as assigned. Functions may vary depending on assigned school site.
This job reports to Principal
Essential Functions
Assists in developing/revising enrollment strategies for the purpose of ensuring efficiency of application and registration process.
Attends department, in-service meetings, workshops, and/or seminars as assigned for the purpose of conveying and/or gathering information required to perform job functions.
Communicates with counselors regarding newly enrolled students, class assignments, schedules, and/or attendance issues for the purpose of providing information needed for counselors to perform job functions.
Enters a variety of information into the Student Information System (e.g. academic data, Master Schedule, class assignments, student schedules, etc.) for the purpose of providing information for accuracy of student records and facilitating function of the school site.
Maintains a variety of manual and electronic documents, files, and records (e.g. grades, transcripts, student information, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
Monitors daily student attendance ensuring accuracy of daily input by teachers and staff for the purpose of managing and submitting required reporting.
Performs enrollment and withdrawal activities entering student information updates into the Student Information System regularly (e.g. registration, changes of address, etc.) for the purpose of ensuring accuracy of student and family information and complying with established guidelines.
Prepares daily attendance reports and other standardized documents and reports (e.g. report cards, class schedules, discipline reports, etc.) for the purpose of communicating information to staff, administrators, other parties and/or agencies, and supporting state reporting requirements.
Processes a variety of documents and materials (e.g. enrollment applications, transcripts, transfers, etc.) for the purpose of providing required information in response to requests from students, other districts, colleges/universities, and/or employment agencies.
Registers new staff for Student Information System account access for the purpose of granting access for data entry such as attendance, grades, etc.
Researches discrepancies in student attendance and records for the purpose of ensuring accuracy in record keeping for reporting purposes.
Responds to questions and requests from a variety of internal and external sources (e.g. staff, other educational institutions, parents and/or students, etc.) for the purpose of providing information and/or direction.
Serves as main building contact for Student Information System for the purpose of providing support and information/reports to teachers and staff.
Other Functions
Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the school site.

SKILLS are required to perform single, technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including software; and preparing and maintaining accurate records.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and solve practical problems. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: codes, regulations, & laws related to student enrollment, graduation, and transfer; and business telephone etiquette.
ABILITY is required to schedule activities, meetings, and/or events; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; analyze data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with data of varied types and/or purposes; and utilize job-related equipment. Work Environment
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 85% sitting, 5% walking, 10% standing. The job is performed under conditions with some exposure to risk of injury and/or illness.
Experience: Job related experience is required in technology working with databases.
Education (Preferred): Bachelor's Degree preferred
