The Office Services Manager is responsible for ensuring an exceptional and efficient workplace experience through high-level hospitality, operational excellence, and effective facilities management. This role leads office services and facilities teams, oversees day-to-day operations, and ensures a professional, welcoming, and safe environment for employees, clients, and visitors. Key Responsibilities
- Report to the Client Service Manager (CSM) and oversee all aspects of office services and facilities operations, including reception, barista bar, and facilities personnel.
- Lead, mentor, and develop team members to deliver exceptional service, uphold operational standards, and maintain a culture of professionalism and hospitality.
- Ensure seamless client, visitor, and employee experiences, including greeting guests, coordinating meetings, managing catering, and maintaining a polished office environment.
- Oversee facilities management, including maintenance, repairs, vendor management, security coordination, and equipment upkeep.
- Manage office operations such as mail distribution, supply inventory, vendor contracts, and scheduling of conference and event spaces.
- Plan and execute client-facing events, meetings, and internal functions, ensuring attention to detail and a high-quality experience.
- Develop, implement, and maintain SOPs, policies, and procedures to ensure operational efficiency, safety, and consistency across all office functions.
- Monitor and manage budgets related to hospitality, facilities, and office operations, ensuring cost control and resource optimization.
- Lead or support special projects, including office moves, renovations, sustainability initiatives, and workplace improvements.
- Partner with cross-functional departments (Facilities, HR, IT, Office Services) to streamline communication and enhance the overall office experience.
Qualifications
- 5 years in management
- Proven experience in office services, facilities, or operations management, preferably within a corporate or high-volume environment.
- Demonstrated leadership and team management skills with the ability to inspire and develop staff.
- Strong organizational, problem-solving, and communication skills.
- Experience managing client-facing activities, office events, and hospitality programs.
- Proficiency in Microsoft Office Suite, scheduling systems, and office/facilities management software.
- Ability to manage multiple priorities and adapt in a fast-paced, dynamic environment.
- Professional demeanor with a focus on client service, operational excellence, and continuous improvement.
Preferred Qualifications
- Experience in corporate, financial, or professional services environments.
- Knowledge of workplace safety, security, and compliance standards.
- Background in luxury hospitality or other high-touch service environments.
