Position Overview
We are seeking a highly organized and proactive Traffic Coordinator to support workflow across multiple departments within a fast-paced marketing environment. This role is critical in keeping projects moving efficiently from concept to completion. The ideal candidate thrives in a deadline-driven setting, is detail-oriented, and can confidently communicate with both internal teams, clients, and vendors.
Key Responsibilities
Project & Production Coordination
- Manage and track active projects, particularly those in production (“bins”), ensuring timelines are met
- Communicate with print vendors to confirm job status, progress, and shipping timelines
- Build and maintain strong relationships with vendors to ensure quality, timing, and cost efficiency
- Track deliveries and proactively resolve any delays or issues
- Perform bi-weekly audits of all active projects to ensure accuracy and up-to-date statuses
Administrative & Office Support
- Answer and direct incoming phone calls in a professional manner
- Assist with general office coordination and day-to-day operational needs
Quality Control & Proofing
- Proof artwork and marketing materials for accuracy, consistency, and quality
- Collaborate with design and production teams to ensure deliverables meet client and brand standards
Client & Team Communication
- Attend client meetings, take detailed notes, and distribute recaps to internal teams
- Follow up with clients regarding project updates, approvals, and outstanding items
- Act as a liaison between departments and vendors to ensure clear communication and workflow alignment
Fulfillment & Logistics
- Assist with ordering, shipping, and fulfillment of print and promotional materials
- Coordinate and execute local pickups and deliveries to vendors and clients
- Maintain organization and cleanliness of the warehouse and storage areas
Qualifications
- Strong organizational and time management skills
- Excellent written and verbal communication abilities
- High attention to detail, especially in proofreading and project tracking
- Ability to multitask and adapt in a fast-paced, deadline-driven environment
- Proficiency in Microsoft Office and/or project management tools (Monday.com experience is a plus)
- Valid driver’s license and reliable transportation for local pickups/deliveries
Preferred Experience
- Experience in a marketing agency, print production, or similar environment
- Familiarity with print processes, vendor coordination, and shipping/logistics
- Previous administrative, coordinator, or operations support experience
