Role Purpose:

The Senior Maintenance Planner/Scheduler is the primary planning and scheduling resource for maintenance and reliability work. This role improves workforce productivity, schedule effectiveness, and work quality by developing complete, execution-ready job plans and coordinating labor requirements, parts, materials, tools, equipment access, safety requirements, permits, technical documentation, and external resources. The position manages work through the planning and scheduling process for preventive, predictive, corrective, overhaul, outage, and shutdown activities. The Planner/Scheduler ensures work is properly scoped, prioritized, prepared, scheduled, and supported for safe and efficient execution.

Accountabilities & Impact:

Safety, Quality and Compliance

• Ensure safety and quality considerations are incorporated into every job plan and maintenance schedule.
• Confirm maintenance work is planned and documented in accordance with applicable safety requirements, Good Manufacturing Practices, food safety standards, and established operating procedures.
• Maintain planning and work-order documentation that supports audits and regulatory compliance, including OSHA, GMP, and HACCP requirements.
• Promote a culture of safe work execution, accurate documentation, accountability, and continuous improvement.

Maintenance Strategy, Planning and Scheduling
• Review incoming work requests, validate scope and priority, and determine the appropriate work-management path.
• Develop detailed job plans that define scope, sequence, labor, parts, tools, safety requirements, permits, documentation, contractor needs, and equipment access.
• Build and manage a rolling 365-day preventive maintenance plan and the maintenance work order, planned-work, PM, outage, and shutdown calendars.
• Plan and schedule preventive, predictive, corrective, overhaul, outage, and shutdown activities in coordination with production requirements.
• Prioritize work based on safety, regulatory requirements, asset criticality, business risk, production impact, and resource availability.
• Develop resource-balanced schedules based on work scope, required craft, job readiness, available maintenance capacity, and approved operational windows. Partner with Maintenance Supervisors and Leads on final workforce assignment and daily execution adjustments.
• Partner with Reliability Engineering to strengthen condition-based maintenance and use equipment history and breakdown analysis to improve PM tasks and frequencies.
• Track material status for planned work, identify shortages that jeopardize schedule readiness, support critical-spares reviews, and ensure unused staged materials are returned and transacted in accordance with inventory procedures.
• Partner with Reliability Engineering and Maintenance SMEs to identify PM improvement opportunities, incorporate approved strategy changes into Hexagon EAM, and maintain accurate job plans, task instructions, frequency, materials, and documentation.

CMMS and Work Order Governance
• Serve as a subject matter expert and technical resource for Hexagon EAM and the plant work-management process.
• Screen incoming work requests and progress approved work through the defined lifecycle, including scope validation, planning, materials coordination, ready-to-schedule status, scheduling, and appropriate closeout follow-up.
• Maintain accurate preventive maintenance task instructions, equipment history, asset records, labor estimates, parts requirements, and planning data.
• Validate equipment hierarchy, asset records, bills of material, planning attributes, and job-plan data. Initiate or escalate asset and BOM change requests when inaccuracies are identified.
• Review completed work orders for documentation quality, completeness, labor and material capture, failure information, follow-up work, and cost accuracy. Escalate concerns regarding execution quality to the appropriate Maintenance Supervisor or Lead.
• Monitor planned-work backlog, aging, and status; identify constraints and drive timely resolution with accountable partners.
• Coach technicians and other users on effective work request and work order creation, documentation, and closeout practices.

Materials, Contractors and Technical Resources
• Coordinate with the MRO Buyer, Parts Clerk, and Procurement to ensure parts, materials, specialty items, tools, and job kits are available before scheduled execution.
• Define third-party labor and specialty resource needs based on work scope, timing, and technical requirements.
• Maintain strong working relationships with external vendors and contractors; support contractor planning, coordination, and performance follow-up.
• Own and maintain the maintenance technical library, including manuals, drawings, schematics, procedures, PM instructions, and planning references.
• Develop and maintain standard job plans and maintenance procedures for recurring work.

Cross-Functional Coordination and Execution
• Lead or actively participate in daily and weekly planning and scheduling meetings to align priorities, confirm job readiness, and resolve constraints.
• Communicate maintenance plans, production impacts, resource needs, and schedule changes to Maintenance, Production, Quality, Engineering, and other stakeholders.
• Maintain close coordination between Production and Maintenance to secure equipment access and minimize disruption to operations.
• Provide planning support during downtime events and major equipment overhauls as needed.
• Conduct post-work reviews and planned-event audits to confirm scope completion, schedule performance, documentation quality, and lessons learned.

Continuous Improvement and Reliability
• Analyze planned versus unplanned work, schedule performance, PM completion, backlog, labor utilization, and work-order quality to identify improvement opportunities.
• Support root cause analysis, equipment reliability initiatives, and corrective-action planning using work history and maintenance data.
• Improve planning standards, job plan quality, workflow discipline, and cross-functional routines to increase maintenance effectiveness.
• Identify recurring delays and sources of waste, then coordinate practical countermeasures with the appropriate stakeholders.
