Job Summary
We are seeking a dynamic and detail-oriented Patalegal/Administrative Assistant to join our small boutique law firm. This role offers an exciting opportunity to support our attorneys with civil litigation cases of all sizes. The ideal candidate will be organized, and possess strong research and document management skills. You will answer the phone, speak to current and potential clients, and play a vital role in ensuring the smooth operation of our law office by providing comprehensive administrative support and assisting with legal case management. Responsibilities
- Manage legal document review, drafting, proofreading, and transcription to ensure accuracy and compliance with firm standards
- Support case management through data entry, filing, and maintaining organized electronic and physical files using our document management system.
- Conduct legal research using LexisNexis, and other resources across our various practice areas.
- Assist attorneys with client interviews and gathering information for cases involving landlord-tenant and construction issues.
- Prepare legal documents such as contracts, pleadings, discovery materials, and reports with precision and clarity
- Coordinate appointments, meetings, and court filings while managing calendars efficiently
- Provide executive administrative support by handling phone inquiries and website inquiries with professional etiquette and managing correspondence
Requirements
- Paralegal experience or prior legal assistant or administrative experience in a fast-paced law office environment
- Strong organizational skills with the ability to prioritize tasks effectively
- Proficiency in legal research tools including Lexis; familiarity with document management systems like Caret Legal is a plus
- Excellent writing skills for drafting legal documents and correspondence
- Attention to detail in proofreading and document review processes
- Ability to screen and direct telephone calls and online inquiries
- Experience with data entry and file management systems to maintain accurate records
- Strong communication skills with professional phone etiquette
- Ability to adapt quickly to new tasks and demonstrate initiative in supporting attorneys’ needs
