What are the responsibilities and job description for the Merchandise Coordinator position at Confidential?
We're looking for a driven, detail-oriented team member to support our buying, merchandising, and marketing operations. This is a hybrid role at the heart of our business — you'll work closely with manufacturers, help shape our product assortment, and contribute to the brand stories we tell across digital channels.
The ideal candidate brings a sense of urgency and extreme organization to moving products through the development cycle, communicates clearly with vendors, and maintains accuracy across product data. A passion for furniture design is essential.
Beyond the day-to-day, we want someone who doesn't wait to be told what to fix — you'll spot inefficiencies, propose improvements, and actively look for ways to automate repetitive work. Familiarity with machine learning tools, or a genuine curiosity to learn how they can be applied to buying, merchandising, and data workflows, is a strong plus. Report to: Sr. Product Development Coordinator
Location: San Rafael, CA
What you will do:
- Support the communication with factories regarding Quotations, Specifications, Product Updates, Sample Schedules, and all things product development related.
- Communicate with factories and overseas office to ensure product information is accurate in the internal system.
- Review and record inventory for tradeshows and plans for product transfers and shipping as needed.
- Mini showroom maintenance. Keep showroom clean and organized. Rotate new samples to be presented at the showroom all the time.
- Distribute new and current product information and to company-wide departments as needed: Marketing, Sales Representatives, Customer Service, eCommerce, and Purchasing Team.
- Communicate with the Imports Team on ordering new products for production and stock.
- Plan sample orders for each tradeshow. Guarantee deadlines are met on sample deliveries for tradeshows.
- Travel domestically to trade shows to assist setup and gather information such as feedback from sales reps and customers
- Stay current with furniture and home decor trends and new information.
- Work closely with customers (i.e., The Container Store, AllModern) on product developments for sampling and mass production.
- Work with Marketing/Graphics team on catalog projects by running reports and helping with product images
- Help manage and schedule social media content, keeping channels current and on-brand
- Convert Product Assembly Instructions from factory version to company version. Keep AI updated on website.
- Facilitate Marketing team with photoshoot, product image updating. Maintain website images up to date.
- Backup for Imports team to receive containers, create and enter invoice, B/L.
- Backup for Customer Service team answer customers’ product related questions.
What you bring:
- 1–3 years of experience in furniture buying, merchandising, or retail
- Strong organizational skills and comfort managing multiple priorities at once
- Clear, professional written and verbal communication — especially with external partners
- Proficiency with spreadsheets (Excel or Google Sheets) and data management basics
- Collaborative mindset and a willingness to pitch in wherever needed
- Furniture or home goods industry experience - nice to have
- Social media management or content creation experience - nice to have
- Background in design, visual arts, or graphic tools (e.g. Canva, Adobe) - nice to have
Work environment:
The work environment is consistent with an office / warehouse workspace requiring:
- Can operate standard office equipment such as computers, printers, scanners, and telephones.
- Can use telephone and operate/type on a computer for up to 8 hours per day while sitting
- Can concentrate in reading and writing for up to 8 hours per day
- Can lift furniture, books, files, or binders up to 50lbs in compliance with the organization’s safety standards to a maximum distance of 20 feet
- Can bend legs to retrieve or file documents in lower drawers for up to 30 minutes a day
- Can reach to a maximum of 15 inches upward to obtain books or files from shelves
- May need to walk and to stand up to 2 hours a day
- Ability to bend legs and have back strength to file documents in lower drawers up to 5 hours a day.
- Can reach to a maximum of 20 inches upward to retrieve and replace objects from shelves of up to 8 feet high
- Regularly required to use hands to finger, handle or feel, reach with hands and arms and talk or hear
- Specific vision abilities required for this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust and focus
